About the Role
KPMG Australia's Darwin office is seeking a diligent Executive Assistant to join their Leadership Support Team on a full-time basis. The successful candidate will provide dependable and professional support to the Geographic Lead Partner, facilitating effective organization and allowing the Partner to concentrate on primary priorities. This role suits a proactive and personable individual who thrives in managing essential tasks and cultivating productive working relationships within a dynamic professional services setting.
Key Responsibilities
- Oversee and manage the Geographic Lead Partner’s calendar, daily meetings, and administrative duties efficiently.
- Organize meetings including agenda preparation and gathering necessary briefing materials.
- Handle correspondence and follow-up actions promptly and professionally.
- Arrange detailed travel plans such as accommodation and itineraries as needed.
- Assist with expense reports, invoice processing, and general administrative tasks adhering to internal protocols.
- Coordinate client meetings, internal communications, and stakeholder engagements on behalf of the Partner.
- Prepare, distribute documents, take meeting notes, and ensure follow-up on actions.
- Maintain accurate client information and update customer relationship management (CRM) systems when required.
- Act as a professional liaison for internal teams, clients, and visitors.
- Collaborate closely with the Darwin office team, leadership support network, and national teams.
- Support office operations including room bookings, catering, and visitor arrangements.
- Promote a positive and organized office atmosphere for all employees and visitors.
- Build strong relationships with Partners, other Executive Assistants, client service teams, and business support functions.
- Identify and suggest improvements in administrative processes and communication flows.
- Contribute to fostering a collaborative, inclusive, and supportive team culture.
Candidate Profile
- Demonstrated experience as an Executive Assistant, Personal Assistant, or in senior administrative roles.
- Proficient in managing diaries, scheduling meetings, travel, and email communications.
- Highly organized with the capability to handle multiple priorities with attention to detail.
- Excellent communication skills, confident in interacting with Partners, clients, and team members.
- Discreet and professional approach in handling confidential information.
- Self-motivated, practical problem solver with a solutions-oriented mindset.
- Proficient in Microsoft 365 applications such as Outlook, Word, PowerPoint, and Teams.
- Experience with CRM platforms and business management software is advantageous but not mandatory.
- Adaptable, collaborative, and committed to delivering outstanding service.
