Role Summary

The Events Coordinator is responsible for managing private and corporate events from booking confirmation through to successful completion. This includes coordinating with various stakeholders such as DMCC, operations, AV, and marketing teams to ensure all event arrangements are flawlessly executed. The coordinator will serve as the primary client liaison once bookings are finalized.

Key Responsibilities

  • Oversee event planning and coordination, handling confirmed bookings including menu arrangements, room setups, schedules, and special client requests. Prepare detailed run sheets and inform relevant teams ahead of events.
  • Be present onsite during events to supervise setup, manage timelines, resolve any arising issues, and act as the main contact for clients and guests.
  • Maintain ongoing communication with clients pre-event, during, and post-event. Confirm final details, manage last-minute modifications, and seek feedback after events conclude.
  • Collaborate with operations, kitchen, and AV departments to confirm logistics and coordinate with marketing for event-related visual and promotional materials such as photos and videos at key events.
  • Manage administrative tasks including maintaining event calendars, checklists, post-event reporting, tracking deposits, billing, and updating all event documentation.

Qualifications

  • Bachelor's degree in Business, Hospitality Management, or a related discipline.
  • One to three years of experience in event coordination, preferably within hospitality or a similar sector.
  • Excellent organizational skills with keen attention to detail.
  • Able to work effectively under pressure while managing multiple events simultaneously.
  • Willingness and flexibility to work during evenings, weekends, and according to event schedules.
