Position Overview

The Document Controller is integral to project success, facilitating order, precision, and timeliness in managing technical documentation. Working closely with engineers, project managers, and clients, the role involves ensuring documents are accurate, complete, and aligned with client and internal standards. Key tasks include handling engineering drawings, managing revisions, coordinating documents across multiple stakeholders, and supporting the maintenance of project records.

Key Responsibilities

  • Conduct quality control reviews of outgoing technical documents such as drawings, equipment specs, and scopes of work to ensure compliance with standards.
  • Manage issuance of engineering packages to clients using platforms like AutoCAD Vault, Aconex, SDx, OneDrive, or SharePoint.
  • Receive and accurately archive documents from clients and suppliers in the document management system.
  • Maintain program-level document consistency across multiple projects under a single contract.
  • Coordinate assembly and preparation of engineering packages for distribution, including managing document transmittals and scanning hard copies as needed.
  • Verify completeness of document packages before release.
  • Maintain and update project logs, registers, and tracking tools to support project administration and execution.
  • Monitor document revision status and distribution to aid reporting and project progress.
  • Participate in internal team and client meetings, preparing and distributing meeting minutes and related documentation for follow-up.
  • Facilitate effective communication between project teams, clients, and suppliers regarding document control matters.
  • Contribute to departmental initiatives and continuous improvement efforts, assisting with additional document control or administrative duties as necessary.

Qualifications

  • Diploma in Business Administration, Project Management, Office Administration, or a related field.
  • At least two years of experience in document control, project administration, or a related function.
  • Familiarity with document management systems; experience with AutoCAD Vault, Aconex, SDx, or SharePoint is advantageous.
  • Proficient in Microsoft Office suite.
  • Exceptional attention to detail and commitment to document accuracy and quality.
  • Highly organized with the capability to manage multiple priorities and meet deadlines effectively.
  • Strong written and verbal communication skills.
  • Adaptable, proactive, and effective both working independently and collaboratively within teams.

Working Conditions

  • Primarily based in an office setting with remote work flexibility as operationally needed.
  • Flexible working hours to accommodate project and client demands; occasional work beyond regular hours expected with options to adjust for work-life balance.

Compensation and Benefits

The salary for this full-time permanent role ranges from 40000 to 60000 CAD annually based on responsibilities, experience, qualifications, market benchmarks, and location cost of living.
