Role Purpose
This role is intended to support the Project Management team by managing project documentation and information flows, ensuring adherence to company policies, client requirements, and ISO 19650 information management standards. Additional duties include project administration and supporting procurement activities, facilitating effective project execution.
Key Responsibilities
- Oversee and maintain comprehensive project documentation using platforms such as Autodesk Construction Cloud (ACC), BIM 360, Asite, Aconex, or equivalent systems.
- Implement document control processes including numbering, revision tracking, distribution, and archival.
- Ensure compliance with the Kirby Way and client document management protocols.
- Maintain registers for drawings, technical submissions, requests for information (RFIs), transmittals, and quality assurance records.
- Track document workflow progress and pursue pending approvals and responses.
- Assist procurement actions related to site consumables and miscellaneous project requirements.
- Provide general project administration support, including reporting and record maintenance.
- Contribute to compiling handover documentation and operation & maintenance manuals.
- Serve as the central contact point for project-related information and document management.
Qualifications and Requirements
- Experience in Document Control or Project Administration roles.
- Familiarity with Common Data Environments (CDEs).
- Proficiency with Autodesk Construction Cloud, Autodesk Build, BIM 360, Asite, Aconex, Procore, or similar document management systems.
- Understanding of document control methodologies and ISO 19650 standards.
- Strong organisational and administrative abilities with meticulous attention to detail.
- Advanced skills in Microsoft Office applications.
- Capability to handle multiple priorities in dynamic project settings.
- Strong communication and stakeholder management skills.
Preferred Experience
- Background in construction, engineering, MEP, pharmaceutical, or data centre projects.
- Knowledge of Building Information Modeling (BIM) processes and digital project delivery methods.
- Exposure to projects spanning from construction to commissioning and handover phases.
