Role Overview

The Document Controller will assist the Project Manager in maintaining effective document management systems throughout the project lifecycle.

Key Responsibilities

  • Ensure timely review and submission of all project documents before deadlines.
  • Manage all document control related activities and services for the project.
  • Digitally scan documents and distribute them as PDF copies to assigned recipients, as well as upload to the Ashghal Contract Management System.
  • Maintain and organize a physical archive of documents for quick and easy retrieval.
  • Utilize the latest version of Primavera Contract Management for tracking and updating contract document statuses.
  • Prepare and log various project communications and documents, including correspondences, reports, payment requisitions, variation orders, site instructions, punch lists, and non-conformance reports using Primavera Contract Management.
  • Monitor, update, and follow up on submittals, safety reports, requests for clarification, meeting minutes, progress photos, contract issues, and drawings.
  • Generate routine reports detailing outstanding actions and responses relating to correspondences using Primavera Contract Management.
  • Ensure adherence to Ashghal’s standardized forms and reports within Primavera Contract Management and coordinate integration with PWA Operations & Maintenance systems.
  • Collect, archive, and report digital photographs of construction work in compliance with PPPA requirements.
  • Facilitate system integration between all project stakeholders including PWA, PMCs, and contractors.

Candidate Profile

  • Diploma in Administration or specialized training in Primavera Contract Management.
  • Proven experience in document control and tracking within construction or engineering firms.
  • Familiarity with Electronic Document Management Systems (EDMS), preferably Primavera Contract Management.
  • Hands-on experience managing document control from project start to closeout using computerized systems within integrated project services.
  • Proficient in IT tools such as Microsoft Word, Excel, and Access with excellent keyboard skills.
  • Strong organizational skills with keen attention to detail and forward planning capability.
  • Effective team player with strong interpersonal, verbal, and written communication skills.
  • Able to communicate effectively across all organizational levels and with external stakeholders.
