Position Overview
Under the guidance of the Document Management Lead, the Document Control and Management Specialist will join the corporate support and project documentation team. This role involves providing documentation control services, supporting document applications, and maintaining internal document management systems.
Key Responsibilities
- Create and implement corporate project and technical standards related to document and information management.
- Customize corporate and project document management systems, including ProArc.
- Set up document management environments for both corporate and project needs.
- Administer user access and troubleshoot issues within the Document Management System (DMS).
- Oversee management and organization of corporate and project-related documents.
- Prepare reports on document statuses and monitor project progress.
- Generate handover documents and dossiers for projects.
- Perform various ad-hoc duties as directed by management.
- Engage closely with multiple teams and headquarters regarding documentation workflows and program updates.
- Coordinate with project teams, engineers, and stakeholders to ensure all document requirements are fulfilled.
- Assist in verifying document identification elements such as numbers and revisions, correcting discrepancies as needed.
- Conduct quality assurance on incoming and outgoing documents to confirm compliance with standards.
- Manage document uploads and downloads within the document management system.
- Track document submission deadlines and facilitate coordination with project teams.
- Handle document submissions to external parties, internal teams, and clients.
- Produce and circulate document control reports to project personnel, providing regular status updates.
Qualifications and Experience
- Post-secondary education preferably in business administration or related fields.
- At least 5 to 7 years of experience in document control or management, ideally within the oil and gas sector, particularly offshore EPCI(O) and FPSO/FSO contexts.
- Familiarity with electronic document management systems such as ProArc is an advantage.
- Experience in database management considered a plus.
- Strong skills in Microsoft Office applications.
- Highly organized and detail-focused, capable of working independently with precision.
- Enjoys following structured processes and maintaining meticulous attention to detail.
