Job description

About CoLab

CoLab supports mechanical engineering teams in accelerating product launches by years through its AI-powered platform, which enhances engineering decisions. By capturing knowledge from every design review, CoLab's AI flags future design issues early, helping clients like Ford, Komatsu, and Johnson Controls reduce rework and speed up market delivery. Founded in St. John's, Newfoundland, CoLab is rapidly growing and recognized by Deloitte's Fast 50™ and Fast 500™, and named a top Canadian company to watch.

Role Overview

The Deal Desk Lead will establish and lead the deal desk function, creating structured processes for deal flow from quotes to contracts to improve efficiency, accuracy, and collaboration. The role includes occasional travel to Newfoundland, Canada, at least twice yearly for team meetings, primarily in December and June; attendance is expected at most events.

Responsibilities

  • Take full ownership of the deal desk operations, managing the deal lifecycle from quotation to contract signing.
  • Design and implement a streamlined, repeatable process to eliminate manual handoffs and redundant data entry in the quote-to-contract workflow.
  • Create and maintain centralized, governed repositories for order forms and legal document templates as a single source of truth.
  • Develop collaborative procedures between the Deal Desk and Legal teams for deal reviews and exceptions.
  • Co-manage legal document templates with Legal to ensure a balance of speed and risk management.

Qualifications & Experience

  • 5 to 8 years of relevant experience in deal desk or sales operations within SaaS companies.
  • Proven track record of establishing a deal desk function independently from the ground up.
  • Proficiency or a rapid learning capability with Salesforce or similar CRM platforms.
  • Strong inclination to collaborate effectively with Legal and Finance teams, prioritizing partnership over bypassing processes.
  • Exceptional process-improvement mindset focused on systemic solutions rather than temporary fixes.

Desired Attributes

  • Commitment to resolving core deal integrity issues rather than temporary symptom treatment.
  • Passion for automating and eliminating manual data entry throughout the quote-to-invoice process.
  • Motivation to replace inconsistent, manual operations with scalable, reliable workflows.
  • A collaborative approach that positions the role as a key partner to Legal and Finance rather than a procedural bottleneck.

Additional Information

This is a foundational build role focused on process creation, not just task execution. Travel is a required component, with the company accommodating individual commitments where possible, and details on travel arrangements and expense coverage will be discussed during hiring.
