Role Purpose

The Customs Clearance Coordinator will oversee and manage customs clearance processes, freight forwarding, and related operational tasks. This includes vendor communications to guarantee shipments are processed timely and in compliance. Responsibilities extend to documentation handling, liaising with customs authorities, clearing shipment challenges, and contributing to sales objectives via client retention and increased shipment volumes.

Primary Duties

• Prepare and lodge customs declarations using the Zakat, Tax and Customs Authority's FASAH system.
• Verify the accuracy of shipment details including HS codes, invoices, and packing lists.
• Coordinate with the Zakat, Tax and Customs Authority to obtain necessary approvals and ensure regulatory compliance.
• Track clearance progress and troubleshoot any system-related challenges.
• Calculate duties and VAT accurately and ensure their timely remittance.
• Generate related customs invoices such as DP and RSGT.
• Manage the uploading and maintenance of all essential customs documentation.
• Engage with shipping lines exclusively on customs-related issues.
• Conduct visits to shipping lines as needed to finalize clearance activities.
• Request and secure Delivery Orders required for customs clearance.
• Coordinate with transporters to facilitate gate passes and organize container pickups.
• Manage transit shipments by taking over coordination from clearance to port exit stages.
• Review, authenticate, and approve transporter invoices for correctness.
• Liaise with the finance department on customs invoices and monitor payment processes.
• Work alongside finance to guarantee prompt payments to transporters.
• Monitor shipments to ensure their swift release by customs authorities.
• Resolve delays, inspections, or any discrepancies linked to customs clearance.
• Keep precise records of all transactions related to customs and finance.

Qualifications and Experience

• Possession of a Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or closely related discipline.
• Mandatory possession of a valid Customs Clearance License.
• In-depth understanding of Saudi Arabia’s customs protocols, FASAH platform, ZATCA regulations, and import/export documentation requirements.
• Proven experience managing customs declarations, inspections, duty payments, and cargo releases.
• Strong coordination abilities interacting effectively with customs authorities, ports, shipping lines, transporters, clients, and internal teams.
• Excellent skills in communication, problem-solving, diligent follow-up, and attention to detail.
