Job description
Job Overview and Responsibilities
The Crewing Executive will be responsible for managing all aspects of crew logistics for assigned vessels to ensure smooth operations. This includes coordinating crew deployment, rotations, sign-on and sign-off arrangements, as well as monitoring manpower availability to maintain vessel readiness.
- Coordinate deployment schedules, rotations, and sign-on/sign-off procedures for vessel crews.
- Identify, source, and vet seafarers to fulfill vessel manning requirements in line with operational demands.
- Maintain detailed and accurate records of crew members, including personnel files, certifications, and employment documents.
- Verify the validity of seafarers' licenses, medical certificates, training qualifications, and statutory documents prior to deployment.
- Organize crew travel logistics such as transportation, accommodation, visas, and work permits required for assignments.
- Partner with vessel Masters, internal departments, manning agencies, and external stakeholders to manage crewing schedules and related personnel matters.
- Prepare necessary documentation including employment contracts, joining instructions, and comprehensive crew lists.
- Assist with administration concerning crew welfare, performance, training needs, and respond to employment-related inquiries.
- Ensure that all crewing activities adhere to corporate policies, maritime regulations, flag-state rules, and industry standards.
Required Qualifications and Experience
- Diploma or degree in Maritime Studies, Human Resource Management, Business Administration, or a related field.
- A minimum of 2 to 3 years’ experience in crewing, marine personnel administration, ship management, or within the maritime sector.
- Strong understanding of maritime crewing protocols, STCW requirements, seafarer documentation, and applicable regulations.
- Proficiency in Microsoft Office and familiarity with crewing, HR, or personnel management software systems.
- Excellent coordination, communication, organizational, and interpersonal skills to efficiently handle multiple crew movements and time-critical tasks.
