Job Overview
The primary role of the Buyer is to manage the acquisition of products, materials, and services to ensure appropriate quality, quantity, pricing, and timely delivery. This supports the smooth running of business operations, maintains inventory levels, ensures supplier performance, and optimizes costs.
Key Responsibilities
- Plan and implement purchasing strategies aligned with business demands, inventory status, forecasts, and budgets.
- Identify and source from qualified suppliers for products, materials, equipment, and services.
- Conduct market research to evaluate potential suppliers, comparing product specifications, pricing, and availability.
- Request and assess quotations; negotiate terms including prices, payments, delivery schedules, warranties, and other commercial aspects.
- Issue purchase orders adhering to company policies, approval processes, and negotiated agreements.
- Oversee purchase orders through to delivery, managing confirmations, shipment updates, receipts, and invoice discrepancies.
- Keep detailed and current records for purchases, supplier data, product details, pricing, contracts, and relevant documentation.
- Collaborate with inventory, warehouse, logistics, finance, operations, sales, and other departments to ensure timely procurement and order completion.
- Monitor inventory metrics such as stock levels, reorder points, lead times, availability, and potential supply risks.
- Assess supplier performance focusing on quality, cost-efficiency, delivery reliability, responsiveness, service levels, and adherence to agreements.
- Develop and sustain professional relationships with suppliers, vendors, distributors, and internal teams.
- Facilitate supplier onboarding, conduct due diligence, manage contracts, and perform periodic supplier reviews.
- Verify or coordinate verification of received goods for quantity, quality, specifications, and condition.
- Address discrepancies in orders, delays, quality issues, returns, credits, and invoicing problems.
- Generate reports on purchasing, cost analysis, savings, supplier performance, and procurement forecasts.
- Identify opportunities for cost reduction, process improvements, purchasing consolidation, and alternate sourcing.
- Ensure purchasing complies with company policies, budgets, contracts, ethics, and regulatory standards.
- Support audits and maintain comprehensive documentation for all purchasing activities and communications.
Required Qualifications
- Bachelor’s degree preferably in Supply Chain Management, Procurement, Business Administration, Finance, Operations, or related fields.
- Between 2 and 5 years of experience in procurement, purchasing, buying, merchandising, supply chain, or similar roles.
- Demonstrated expertise in sourcing products/services, supplier evaluation, contractual negotiation, and purchase order management.
- Understanding of procurement processes, inventory and supplier management, order fulfillment, and supply chain workflows.
- Experience working with ERP systems, procurement software, inventory systems, or related platforms.
- Proficient in Microsoft Excel with capacity to analyze purchasing data, pricing, inventory, and supplier performance metrics.
- Excellent skills in negotiation, communication, organization, decision-making, and problem solving.
- Ability to carefully review product specifications, quotations, contracts, purchase orders, invoices, and commercial documents.
- Strong attention to detail and capability to manage multiple suppliers, orders, and deadlines simultaneously.
- Talent for building effective supplier relationships and collaborating with cross-functional teams.
- Knowledge of purchasing controls, ethical sourcing, contract terms, and relevant procurement requirements.
- Self-driven, business-aware, goal-oriented, able to work independently and collaboratively.
