About the Role

The Bid Solutions Manager for Facilities & Asset Management is tasked with analyzing client Requests for Proposals (RfPs) and crafting customized Facilities Management (FM) strategies that are not only operationally robust but also financially attractive and aligned with organizational goals. This position is pivotal in shaping, costing, and presenting FM service delivery frameworks within bid offers.

Collaborating closely with Bid Managers, Technical Subject Matter Experts (SMEs), along with Commercial and Finance departments, the role focuses on formulating solutions that fulfill client requirements, optimize operational workflows, ensure compliance, and present a compelling business case.

Key Responsibilities

  • Lead thorough examination and interpretation of RfPs, pinpointing client demands and evaluation factors.
  • Develop tailored FM solutions that combine hard FM (mechanical, electrical) and soft FM (cleaning, security, catering, waste management) components as appropriate.
  • Collaborate with operational staff and SMEs to create cost-efficient, innovative, and scalable FM delivery models.
  • Enhance service delivery by embedding efficiency, regulatory compliance, and sustainability aligned with industry standards.
  • Facilitate coordination among technical, commercial, and bidding teams to maintain solution consistency.
  • Engage suppliers, subcontractors, and partners, including those specializing in technology and advisory, to strengthen FM proposals.
  • Take part in client clarifications, site assessments, and bid presentations to confirm and refine solutions.
  • Cooperate with Bid Managers and content creators to ensure FM solutions are accurately depicted in bid documents, including methodologies and performance management.
  • Help shape key win themes, unique selling points, and value adds to improve competitive advantage.
  • Contribute to technical and operational bid response composition, ensuring alignment with client goals and proposed solutions.
  • Partner with Commercial and Finance teams to devise pricing strategies and cost models balancing cost-effectiveness and profitability.
  • Support total lifecycle cost analyses to promote value-for-money propositions.
  • Identify innovative FM delivery approaches that enable cost savings and increased efficiencies.
  • Ensure solutions comply with applicable industry guidelines, health and safety protocols, and contract terms.
  • Collaborate with risk teams to foresee and mitigate risks related to operations within bids.
  • Develop contingency plans and backup service methods to mitigate potential client issues.
  • Continuously refine solution creation processes, tools, and templates to improve quality and efficiency.
  • Lead sessions for bid solution review and post-bid analysis to derive insights and strengthen future bids.

Required Qualifications and Skills

  • Bachelor’s degree in Facilities Management, Engineering, Business, or related discipline.
  • Certifications such as IWFM, IFMA for Facilities Management or APMP for Bid Management are advantageous.
  • Proven expertise designing FM strategies in bidding or presales contexts.
  • In-depth knowledge of hard and soft FM services, prevailing trends, regulations, and best practices.
  • Experience interpreting intricate RfPs to develop client-aligned solutions.
  • Strong commercial insight encompassing cost modelling, pricing, and value engineering.
  • Excellent collaboration and stakeholder engagement abilities across bid, commercial, and operational areas.
  • Proficient with Microsoft Office suite (Excel, Word, PowerPoint), bid management, and costing software.
  • Strategic thinker who can balance immediate and longer-term priorities effectively.
  • Capable problem solver who handles complex challenges promptly.
  • Adept at discerning customer needs to construct competitive and innovative tenders.
  • Familiarity with Building Management Systems (BMS), Computer-Aided Facilities Management (CAFM) software, and IoT technologies applied in FM.
  • Preferred familiarity with FM/AM sectors like Citizen Services, Justice & Immigration, Defence, and Airport Operations.
  • Lean Six Sigma certification (Yellow, Green, or Black Belt) is highly desirable.
