Job description
Role Overview
We are seeking a meticulous Bid Coordinator to manage and oversee tender and bid submissions. The role involves maintaining an up-to-date bid library, coordinating the preparation of tender documents, and ensuring compliance with brand and submission standards.
Primary Duties
- Maintain and update the Bid Library to keep content and resources current.
- Coordinate the preparation and timely submission of tender applications.
- Review documents for accuracy, consistency in formatting, and adherence to brand guidelines.
- Collaborate with internal teams to collect necessary content and inputs for bids.
- Manage Customer Relationship Management (CRM) system updates related to bids and record bid activities.
- Lead pitch presentations and support broader business development initiatives.
- Track bid timelines and progress, reporting regularly to stakeholders.
- Maintain a repository of tender documents and templates for future use.
- Contribute to shaping bid strategies and identifying winning themes.
- Ensure all submissions comply with guidelines and company standards.
Candidate Profile
- Demonstrates excellent organizational and time management skills to juggle multiple deadlines efficiently.
- Possesses a thorough understanding of tendering and submission processes.
- Exhibits high attention to detail along with strong organizational capabilities.
- Has superior written communication skills and expertise in document formatting tools.
- Capable of collaborative work involving multiple internal and external stakeholders.
- Familiarity with sales processes and related procedures.
- Brings at least 2 years of experience in bid coordination, proposals, or related roles.
- Advanced proficiency in Microsoft Office suite, especially Word, PowerPoint, and Excel.
- Self-driven, proactive, and teamwork-oriented.
- Holds a relevant tertiary qualification in communications, marketing, business, or a related field.
