Role Overview

The Audio-Visual Supervisor is responsible for managing all audio-visual services for meetings, conferences, weddings, social functions, and other hotel events. Leading the technical execution on site, the supervisor ensures all AV equipment is professionally installed, tested, operated, and maintained to deliver flawless, high-quality experiences to guests and event organizers.

Collaboration is central to the role, working closely with the Events, Banquets, Engineering, and other operational teams to guarantee safe, efficient, and high-standard event delivery in line with InterContinental Hotels & Resorts' expectations.

Key Responsibilities

• Oversee daily operations of the hotel’s audio-visual function ensuring timely and professional delivery of AV services.
• Supervise setup, operation, and teardown of equipment for diverse events including meetings, conferences, weddings, banquets, and exhibitions.
• Review event documentation such as requirements, floor plans, and technical specifications to anticipate and prepare AV needs.
• Conduct thorough equipment inspections and functional tests prior to events to ensure flawless operation.
• Manage audio systems, microphones, speakers, projectors, LED screens, lighting, video devices, and related technology throughout events.
• Provide timely technical support during events, handling unforeseen issues or last-minute alterations swiftly.
• Ensure correct positioning and availability of equipment according to event plans.
• Liaise continuously with Events and Banquets teams to ensure smooth, coordinated event execution.
• Engage with event planners and guests to understand technical requirements, offering expert advice and support.
• Supervise external AV contractors to ensure adherence to hotel standards and event specifications.
• Maintain detailed records of AV equipment, inventory, maintenance schedules, and equipment movements.
• Manage proper handling, storage, and upkeep of AV equipment to optimize reliability and longevity.
• Identify faulty equipment and coordinate prompt repairs or replacements with Engineering or vendors.
• Ensure all AV setups comply with health, safety protocols, and operational standards.
• Keep AV storage and work areas clean, organized, and professional.
• Assist with event planning, technical site visits, and room setup as needed.
• Support implementation of new AV technologies and identify ways to enrich the hotel’s event offerings.
• Monitor AV operating costs and promote effective use of equipment and resources.
• Prepare operational reports and maintain accurate records.
• Act as the principal AV contact during assigned events, ensuring smooth communication among departments.
• Support departmental projects, equipment upgrades, and operational improvements.
• Deliver seamless, professional technical experiences contributing to event success.
• Proactively anticipate technical challenges and take measures before and during events.
• Maintain all technical elements to enhance event quality without interrupting guest experiences.
• Keep up-to-date knowledge of professional AV, projection, lighting, presentation, and conferencing technologies.
• Troubleshoot common technical difficulties and implement quick, effective solutions minimizing disruptions.
• Ensure availability of backup equipment and contingency plans for critical functions as necessary.
• Observe manufacturer maintenance guidelines and hotel standards for equipment upkeep.
• Report any damage, loss, or technical issues regarding AV inventory promptly.
• Ensure safe handling, installation, operation, and storage of AV equipment.
• Stay informed on emerging AV industry trends and relevant technologies.

Candidate Profile

• Proven experience in a supervisory or senior AV role, ideally in luxury hotels, resorts, conference venues, or event companies.
• Strong hands-on knowledge of professional audio, video, projection, lighting, and event technologies.
• Experience managing a broad range of events such as conferences, corporate meetings, weddings, social gatherings, and large-scale functions.
• Sound understanding of event setups, technical production, live event troubleshooting, and support.
• Exceptional problem-solving abilities with composure under pressure.
• Experience within an international luxury hotel setting is advantageous.
