Overview

As an Administrative Lead, you will be integral in supporting a high-performing administrative team that drives collaboration and efficient problem-solving to positively impact lives.

Key Responsibilities

  • Prepare meeting agendas, schedule appointments, and document minutes as needed for meetings and conference calls.
  • Identify and implement improvements in department administrative processes.
  • Resolve complex issues within your scope with professionalism and discretion.
  • Maintain confidentiality and uphold high standards of integrity in all duties.
  • Organize and manage both electronic and physical filing systems for easy accessibility.
  • Provide administrative and secretarial assistance, serving as backup for other departments when necessary.
  • Oversee purchase order processing via the Ariba system and track invoice payments.
  • Coordinate logistics and setup for large-scale or offsite meetings.
  • Evaluate and collaborate with cost-effective vendors to execute activities efficiently.
  • Independently manage workflow, proactively initiating follow-ups and maintaining progress, even when leadership is offsite.
  • Contribute innovative ideas to foster a dynamic work pace and ensure timely task completion.
  • Take personal responsibility for the quality of your work, time management, and professional development.

Minimum Qualifications

  • High school diploma or GED with a minimum of six years of relevant experience.
  • Strong skills in planning and organizing tasks effectively.
  • Proficient in Microsoft Office applications, notably PowerPoint, Excel, and Word.
  • Exceptional attention to detail combined with strong interpersonal skills.
  • Capability to manage sensitive documents confidentially.
  • Effective communication and teamwork abilities.
  • Competency in performing office functions efficiently and completing assignments punctually with quality.

Preferred Qualifications

  • Experience supporting executive leadership as an administrative assistant in a global company.
  • Familiarity with the pharmaceutical sector and healthcare settings.
  • Experience training colleagues and guiding team members.
  • Excellent organizational skills with the ability to handle multiple responsibilities simultaneously.
  • Proactive work style with initiative in follow-up actions.
  • Experience utilizing AI tools, including generative technologies (e.g., ChatGPT, Microsoft Copilot), to enhance productivity and problem-solving; awareness of responsible AI usage, risks, and ethics.

Work Conditions and Additional Details

  • This role is hybrid, requiring residency within commuting distance to work onsite approximately 2.5 days per week or more as needed.
  • Work may involve travel and occasional extended hours.
  • Position offers hourly pay ranging from $31.24 to $52.06 with eligibility for overtime and other pay premiums according to company policy.
  • Benefits include 401(k) with matching contributions, paid leave, medical, dental, vision coverage, and additional supportive programs.
  • Relocation assistance may be provided based on business requirements and eligibility.
