About the Role
The Accounts Payable Supervisor at Marsa Malaz Kempinski - The Pearl, Doha, Qatar, leads the daily operations of the Accounts Payable department, ensuring all hotel disbursements and supplier payments comply strictly with Kempinski's corporate financial policies and Qatar's local tax laws.
Key Responsibilities
- Manage the entire accounts payable process including invoice verification through three-way matching (PO, receiving log, invoice) and coordinating payment execution.
- Ensure supplier invoices are checked for accuracy, valid authorization, correct ledger accounts, and appropriate cost center coding.
- Conduct weekly and monthly payment runs utilizing corporate banking channels, including wire transfers, cheques, and local bank transfers.
- Perform regular vendor statement reconciliations, promptly addressing any discrepancies or outstanding balances.
- Adhere to Kempinski Finance Policies, the Uniform System of Accounts for the Lodging Industry (USALI), and applicable Qatar financial regulations for full compliance.
- Participate in month-end and year-end closing procedures by managing accrued expenses, analyzing AP aging, and reconciling payables ledger accounts.
- Maintain accurate documentation for withholding taxes and other legal requirements pertinent to Qatar.
- Keep detailed audit trails to support internal and external audit processes.
- Act as the primary liaison for vendor queries, maintaining professional relations in line with luxury hospitality standards.
- Collaborate actively with Procurement, Receiving, and Food & Beverage departments to ensure invoice processing aligns with goods and service receipts.
- Oversee petty cash payments and employee expense claim reviews to ensure compliance with internal approval controls.
- Lead, supervise, and mentor Accounts Payable Officers and Clerks to promote team development.
- Identify and implement process improvements to enhance digital workflow, increase efficiency, and reduce turnaround times.
Qualifications & Skills
- Bachelor’s degree in Accounting, Finance or related field is required.
- A minimum of 3 to 5 years of experience in finance with at least 2 years in a supervisory or senior Accounts Payable position within a luxury 5-star hotel environment.
- Experienced with hospitality ERP systems such as SunSystems, FMC Material Management, Opera, or ACE, along with advanced proficiency in Microsoft Excel.
- Knowledge of Qatar banking processes, taxation including Withholding Tax, and local vendor interactions is highly preferred.
- Fluent English communication skills in both written and spoken forms; Arabic language skills are considered an advantage.
- Strong analytical aptitude, meticulous attention to detail, integrity, and excellent communication across departments.
