About the Role
The Accounts Coordinator supporting the Bulk Liquid Tanker operations at IXOM in Mount Maunganui plays a vital role in maintaining the efficiency of customer accounts and related administrative activities. This includes tasks such as precise invoicing, reconciling delivery and inventory data, handling customer service inquiries, and collaborating with drivers, fleet operations, and internal teams to ensure accurate work reconciliation and timely accounts receivable support.
Primary Duties
- Generate, verify, and process customer invoices according to established timelines and specifications.
- Investigate and address any discrepancies in invoices, pricing questions, or billing issues.
- Reconcile daily bulk chemical deliveries with operational and client documentation.
- Collaborate with the Inventory Team to resolve discrepancies in stock movements and inventory levels.
- Keep customer account records, delivery documents, and operational data precise and up to date.
- Handle customer inquiries related to deliveries, invoicing, reconciliations, and service topics promptly.
- Provide backup support to the Administration Manager and Bulk Liquid Tanker Operations Team as needed.
- Identify and suggest enhancements to administrative processes, reporting accuracy, and workflow efficiencies.
- Adhere to IXOM’s standards regarding health, safety, environmental, quality, and regulatory compliance.
Candidate Profile
- 1 to 3 years of experience in administration, accounts coordination, or customer service, preferably within supply chain or logistics contexts.
- Proven skills in invoicing, reconciliation processes, and precise data entry.
- Familiarity with SAP or comparable ERP software.
- Intermediate proficiency in Microsoft Excel and the Microsoft Office suite.
- Strong organizational skills, keen attention to detail, and effective time management capabilities.
- Excellent written and verbal communication skills.
- Ability to prioritize multiple tasks and consistently meet deadlines.
- Desirable: Relevant qualifications in Business Administration, Accounting, Logistics, or related disciplines.
