About the Role

We are seeking a proactive and organized Facilities Coordinator to oversee and support the day-to-day operations of facility management across our UAE locations. This position involves managing maintenance schedules, coordinating with various service providers and contractors, ensuring efficient workplace services, and supporting administrative facility activities. The role suits candidates who excel at problem-solving and ensuring smooth operations.

Key Responsibilities

  • Manage daily facilities and workplace operational tasks.
  • Schedule, track, and ensure completion of preventive and corrective maintenance jobs.
  • Collaborate effectively with contractors, suppliers, service technicians, and other service providers.
  • Monitor and respond promptly to maintenance requests and facility-related issues.
  • Maintain detailed records of maintenance actions, service contracts, asset inventories, and inspection logs.
  • Assist with office relocations, workspace design, and facility setup requirements.
  • Oversee cleaning, security, landscaping, and waste management services.
  • Perform routine inspections and report safety or maintenance concerns.
  • Support procurement efforts related to facility supplies, equipment, and services.
  • Manage tracking of service agreements, warranties, renewals, and evaluate vendor performance.
  • Produce reports, operational updates, and schedule documentation for facilities management.
  • Assist in emergency preparedness, safety protocols, and business continuity planning.
  • Recommend and implement improvements to enhance facility efficiency and workplace service quality.

Required Qualifications

  • Diploma or bachelor's degree in Facilities Management, Business Administration, Engineering, Operations, or a related discipline preferred.
  • At least 3 years of experience in facilities, property management, administration, or operations is preferred.
  • Strong organizational and coordination capabilities.
  • Excellent communication skills and ability to manage vendor relationships.
  • Solid understanding of building maintenance and workplace operational needs.
  • Effective problem-solving and multitasking abilities.
  • Proficiency in Microsoft Office products, especially Excel.
  • Experience with facilities management software or maintenance platforms is a plus.
  • High attention to detail with strong record-keeping skills.
  • Ability to juggle multiple contractors, requests, and deadlines efficiently.
  • Proactive, dependable, and customer-service oriented attitude.
