Role Overview and Responsibilities
- Provide comprehensive executive support to the Managing Director including calendar management, prioritising and scheduling various meetings, ensuring efficient use of time and resolving scheduling conflicts.
- Manage the Managing Director’s mailbox by monitoring incoming correspondence and highlighting critical items.
- Organise logistics for quarterly leadership and offsite meetings, prepare and distribute meeting agendas, record minutes, and track action items.
- Prepare and distribute PowerPoint presentations to support meeting preparations.
- Handle expense management including alignment of Concur expenses for senior managers, processing cash expense claims, and reconciling credit card statements.
- Organise full travel itineraries encompassing flights, accommodation, and transportation including car parking and transfers.
- Act as a liaison for cross-functional communication and support between the DCBS team and departments such as HR, Legal, Finance, and IT.
- Coordinate internal and external events for DCBS, manage staff recognition programs, and orchestrate onboarding experiences to foster a positive business unit culture.
- Collaborate with site administrators to encourage regular social activities across multiple DCBS projects.
- Support project teams by facilitating documentation approvals from headquarters including leases and legal signatories.
- Assist with cross-project initiatives such as seasonal gifting and compiling guest lists to support event execution.
- Provide general administrative support including document preparation in Excel, PowerPoint, and Word, controlling information flow to and from project teams, ordering office supplies, and managing desk allocations across projects.
- Perform ad hoc administrative duties as required.
- Maintain and regularly update holiday trackers to ensure accurate visibility across management teams.
Essential Qualifications and Experience
- Minimum of five years’ experience as an administrative assistant supporting senior management in a dynamic office environment.
- Proven skills in organising and coordinating both small and large scale corporate events.
- Strong proficiency in Microsoft Office Suite including Outlook, Excel, Word, PowerPoint, OneNote, and SharePoint.
- Excellent verbal, written communication, and interpersonal skills.
- Ability to organise and manage multiple tasks efficiently and meet deadlines without supervision.
- Confidence in professionally and effectively handling enquiries directed to senior leadership.
- Capacity to work independently using initiative, while being a proactive team member.
- Sound judgment, discretion, and confidentiality in handling sensitive information.
- Adaptability to function in a fast-paced workplace environment.
