Role Summary
The Document Controller will handle site administration and document coordination on a project, supporting management and helping to keep information, records, and workflows organised, compliant, and up to date.
Key Duties
- Coordinate and carry out day-to-day site administration tasks while supporting project management.
- Administer the project SharePoint environment, including folder structure and document organisation.
- Receive, process, and track project documentation through the relevant software systems and client portals.
- Support site mobilisation and other tasks linked to the project management system.
- Organise meetings, compile reports, and follow through on outstanding action items.
- Build and maintain an effective filing and archiving process.
- Help ensure adherence to company policies and ISO requirements.
- Keep site records current, including the weekly progress report.
- Support the health and safety team with audit activities and the storage of safety documentation in SharePoint.
- Work with the main contractor and subcontractors’ document control or site administration contacts to obtain required paperwork.
- Contribute to the setup, execution, refinement, and ongoing improvement of the document management process.
Requirements
- Prior experience in a comparable on-site administration position.
- Strong working knowledge of Microsoft Office 365.
- Well-developed organisational skills and the ability to perform effectively in a fast-paced site environment.
- Clear written and verbal communication skills.
- Ability to build positive working relationships with the project team and broader professional stakeholders.
- Valid full driving licence.
