Key Responsibilities
- Manage daily operations of venue and business spaces ensuring smooth functionality.
- Coordinate event planning and logistics, including setup, on-site supervision, and follow-ups.
- Handle leasing processes such as tenant management, fee administration, lease renewals, and terminations.
- Conduct property viewings, client prospecting, market research, and feedback gathering.
- Ensure compliance and accuracy in lease and event documentation and billing.
- Liaise with clients on event bookings, managing inquiries, catering, manpower, A/V equipment, and event setups.
- Collaborate with marketing and facilities teams to fulfill leasing and event objectives.
- Develop strategic plans to enhance venue income and operational efficiency, including direct sales initiatives.
- Address unforeseen event issues, handle complaints, and maintain excellent tenant and client relations.
- Serve as Duty Manager during events, which may involve working after hours, weekends, or public holidays.
- Prepare event reports, booking rate reviews, and conduct ongoing market research.
- Support facilities management duties and perform other ad hoc tasks as assigned.
Administrative and Operational Duties
- Maintain accurate lease, event, operational, and feedback records.
- Generate reports and analyses on outcomes and office activities.
- Perform documentation filing and maintain relevant records.
- Coordinate procurement tasks and vendor liaising to ensure efficient services.
- Oversee vendor creation processes to facilitate timely service provision.
- Utilize data-driven insights to recommend improvements in operational efficiency.
Experience and Qualifications
- Bachelor’s degree or diploma in Marketing, Estate Management, Facilities Management, Business Administration, Event Management, Communications, or related disciplines.
- Minimum of 5 years relevant experience with exposure to building operations and comprehensive event management.
- Proven ability to manage the full cycle of events, from planning to execution and engagement driving.
- Excellent communication, interpersonal, and stakeholder engagement capabilities.
- Strong problem-solving, organizational, and time management skills with ability to work independently and collaboratively.
- Fluent English communication skills, both verbal and written.
- Advanced proficiency in MS Office suite including Excel and PowerPoint.
- Careful attention to detail, discretion with sensitive information, and a professional approach to confidentiality.
