Job description
About Clio and the Role
Clio leads globally in legal AI technology, empowering legal professionals and law firms of varying sizes to work more efficiently, securely, and innovatively. We aim to enhance the legal experience by improving the professional lives of legal practitioners while broadening access to justice.
We are seeking a Workplace Experience Program Manager to join our Workplace Experience (WX) team in Dublin. This is a full-time, in-office role with an expectation to be present onsite at our Dublin Hub office two days per week.
Team and Role Overview
The position reports directly to the Workplace Experience Manager based in Burnaby, Canada and forms part of Clio's global WX team. This team is dedicated to ensuring exceptional, consistent, and secure environments across 14+ offices spanning 7 countries. Collaborating closely with People, IT, Security, Legal, and Finance teams, WX manages office operations, enforces compliance, and elevates the employee experience globally.
As Clio expands, incorporating new teams and offices, the WX team is transitioning from localized operations into a unified global program. This role will be instrumental in achieving that transformation.
Key Responsibilities
- Take ownership of the Health & Safety compliance program across all EMEA offices and beyond, including oversight of fire safety, emergency planning, and adherence to evolving regulations in multiple jurisdictions.
- Develop and maintain a systematic framework to monitor legislative changes and translate them into actionable office-level directives.
- Lead operational standardization initiatives globally, including workplace systems, vendor management methodologies, security policies, and visitor management, while crafting comprehensive operational playbooks for local office managers.
- Serve as the senior escalation point for EMEA during business hours, facilitating decision-making, resolving operational issues, and representing WX leadership in the absence of the Senior Manager.
- Collaborate with IT and Security teams to harmonize badge access systems, visitor protocols, and vendor evaluation procedures across all sites to reduce audit risks and address insurance vulnerabilities.
- Manage vendor relationships and oversee program budgets related to owned initiatives, identifying cost-saving opportunities and driving continuous operational improvements through data analysis.
Candidate Profile
- Possess over 5 years of experience in program management, operations, or workplace/facilities management operating globally with multiple sites.
- Demonstrated expertise in leading Health & Safety programs covering UK and EU regulations across different jurisdictions.
- Strong project management skills capable of juggling multiple initiatives, instituting accountability frameworks, and resolving ambiguous challenges.
- Ability to work autonomously with sound judgment and decisiveness without requiring constant oversight.
- Experience managing vendor, security, or facilities systems spanning multiple locations.
- Comfortable utilizing AI tools to enhance operational efficiency, synthesize multi-program information, and accelerate execution.
- Excellent communication skills to collaborate effectively with local teams maintaining their autonomy.
- Familiarity with workplace tools like Google Workspace, Slack, Asana, Confluence, and ticketing/expense management solutions.
Additional Advantages
- Previous exposure to tech or startup environments or fast-paced high-growth companies.
- Knowledge of access control, visitor management systems, or AV and meeting room technologies.
- Experience with workplace safety programs and compliance documentation.
- Certifications such as First Aid and Food Safety.
- Practice with Confluence and Asana platforms.
Compensation and Work Environment
The role offers a competitive salary range from €66,500 to €89,900 EUR based on location, experience, and skills, with future progression prospects. Our Total Rewards program includes top-tier health and dental benefits, a pension scheme, flexible time off, and recognition programs celebrating service milestones.
The position is part-time onsite with a hybrid work model, requiring onsite presence at least twice weekly for local employees.
