Job description
Overview
The Timekeeper will be responsible for diligently recording and managing attendance and working-hour data for all onsite personnel including employees, contractors, and daily wage workers. This entails maintaining transparent and timely records to support accurate payroll processing and prevent attendance and overtime irregularities.
Key Responsibilities
- Ensure daily documentation of attendance including clock-in/out times, shift allocation, absences, late arrivals, and early departures for all site staff.
- Manage biometric and manual attendance systems, resolving discrepancies each day.
- Maintain distinct attendance data for permanent staff, contractors, and daily-wage laborers.
- Generate and verify manpower deployment reports categorized by department and contractor.
- Record and validate overtime hours based on prior authorization, preventing unauthorized overtime.
- Identify and promptly report proxy attendance, duplicate records, or incorrect working hours.
- Collaborate with HR, Administration, Security, supervisors, and contractors to resolve any attendance issues.
- Maintain shift schedules and confirm attendance matches approved duty rosters.
- Accurately track leave, weekly offs, holidays, absences, and compensatory leave.
- Prepare attendance and overtime data within deadlines to facilitate monthly payroll processing.
- Verify and authorize contractor attendance sheets and manpower claims prior to payment processing.
- Keep thorough documentation for all attendance corrections and manual adjustments.
- Present daily, weekly, and monthly attendance reports to site management.
- Safeguard confidentiality and integrity of payroll and attendance records.
- Support HR and Administration during attendance audits, payroll reconciliations, and contractor billing checks.
- Escalate any unusual attendance patterns, excessive overtime, manpower shortages, or suspicious activities immediately.
Accountability
- Maintain 100% accuracy in attendance records.
- Ensure no unapproved or unsupported overtime is recorded.
- Prevent proxy or false attendance entries.
- Daily reconcile biometric and manual attendance data.
- Verify contractor manpower accurately.
- Submit payroll attendance information on time.
- Document every attendance adjustment properly.
Qualification & Experience
- Minimum education requirement is Intermediate; Bachelor's degree in relevant field such as B.Com or BBA is preferred.
- Two to four years’ experience as a Timekeeper, ideally within manufacturing, construction, chemical/petrochemical industries, or large industrial environments.
