Role Overview
The Subcontracts Administrator serves as a vital member of the Supply Chain Team, providing direct support to the Senior Subcontracts Manager and Head of Supply Chain. This position focuses on effective and timely management of contract administration tasks to ensure smooth project delivery.
Key Duties and Responsibilities
- Draft, review, negotiate, and manage subcontracts and their variations aligned with project demands, company policies, and procurement guidelines.
- Execute contract administration duties, including handling escalation claims and extensions of time requests.
- Process progress payment claims promptly and issue necessary instructions and correspondence to suppliers.
- Oversee contract renewals and extensions in line with contractual terms.
- Manage contract closure activities to maintain contractual continuity beyond project completion.
- Assist with processing and documentation of non-disclosure agreements.
- Coordinate Requests for Quotations, evaluate submissions, and recommend subcontractor engagements for minor bids.
- Support contractual communication in coordination with legal advisors to guide decision-making.
- Identify and mitigate contractual risks to minimize commercial and contractual exposure.
- Maintain accurate records of contracts, correspondence, and compliance documentation.
- Monitor subcontractor performance, reporting on progress, variations, costs, and overall project outcomes.
- Collaborate with consultants, subcontractors, and other stakeholders to support contract negotiations and project success.
- Work closely with procurement and quality assurance teams regarding supplier onboarding and contract renewals.
Additional Information
This position offers flexible work arrangements, including a hybrid model with work-from-home options after probation, subject to approval. The appointment is for a fixed term of two years.
Candidate Profile and Qualifications
- Minimum of five years’ experience in contract or project administration supporting complex projects.
- Strong knowledge of construction contract administration, including variation management, time extensions, payment claims, cost control, and risk management.
- Proven capability in managing subcontractor negotiations and complex procurement scenarios.
- Familiarity with supplies acceptance processes such as milestones and progress claims.
- Experience with ASDEFCON or government contract administration and comprehension of security and export control requirements.
- Understanding of Security of Payments legislation.
- Excellent organizational skills and ability to prioritize tasks effectively under deadlines.
- Proficiency in Microsoft Office, particularly advanced skills in Word, Excel, and PowerPoint.
- High literacy and numeracy skills.
- Possession or pursuit of relevant diploma/qualification in commerce, construction management, supply chain, CIPS, business, or related areas.
