Spare Parts Coordinator

Role Overview

The Spare Parts Coordinator will oversee the management and logistics of spare parts and service tools throughout Kenya. This includes handling warehousing, maintaining inventory, fulfilling orders, managing transportation, and processing returns efficiently.

Responsibilities

• Manage coordination of spare parts applications, restocking, transfers, and urgent delivery needs to support field service operations.
• Operate and maintain inventory records using systems such as WMS/GWMS, SAP, and SCM/work-order platforms to ensure precise tracking and accuracy.
• Collaborate with various logistics partners including couriers, trucking companies, freight services, warehouses, third-party logistics providers, freight forwarders, and customs agents.
• Assist with import/export processes and customs clearance by handling shipment documentation, HS codes, and related regulatory requirements.
• Monitor inventory consumption trends including shortages, surplus stock, and aging items, assisting in safety stock and replenishment planning.
• Perform inventory reconciliations and cycle counts, addressing discrepancies and generating regular logistics reports.
• Contribute to process improvement initiatives, system upgrades, and developing standard operating procedures for logistics.
• Carry out additional tasks as directed by supervisors.

Qualifications

• A Bachelor’s degree or higher in Logistics, Supply Chain Management, Business, or related field.
• Typically at least three years of relevant experience in spare parts logistics, inventory management, warehousing, or service logistics.
• Competency with WMS, SAP, or comparable ERP systems.
• Proficient with Excel for inventory reconciliation and data reporting.
• Familiarity with Kenyan transportation, customs, and import/export procedures is preferred.
• Experience in regulated sectors such as medical devices, healthcare, or technical services is advantageous.
• Professional working proficiency in English; knowledge of Swahili is an additional benefit.
• Strong communication, coordination, problem-solving skills, and a proactive approach to responsibility.
