Job Purpose
The Senior Specialist – Document Control will manage document control activities within Procurement. The role ensures the accuracy and compliance of procurement documentation, supports sourcing and contracting processes, and protects the integrity of documents throughout the procurement lifecycle.
Responsibilities
- Manage document control tasks for procurement files including receipt, registration, version management, circulation, retrieval, storage, and disposal following governance standards.
- Maintain comprehensive and precise records of procurement documents such as RFIs, RFQs, RFPs, tender submissions, evaluation reports, contracts, amendments, approvals, and supplier communication within authorized document management systems.
- Verify documentation completeness, formatting, numbering, metadata accuracy, and compliance with document control standards prior to distribution, approval, or archival.
- Facilitate secure and tracked distribution of procurement documents to internal teams and external suppliers, ensuring confidentiality and access controls are upheld throughout the process.
- Track document workflows, approval sequences, and revision histories to confirm adherence to governance protocols and ensure current documents remain accessible.
- Assist procurement staff during sourcing, tendering, contract management, supplier onboarding, and audits by providing timely document access, status updates, and controlled support.
- Perform periodic audits of documents to verify compliance with procurement policies, retention schedules, regulatory obligations, and governance standards, suggesting corrective measures when necessary.
- Update and maintain procurement document registers, reporting dashboards, and compliance metrics to provide management with accurate status insight.
- Collaborate cross-functionally with procurement, legal, finance, and project teams to guarantee procurement documentation meets contractual, budgetary, operational, and governance needs.
- Identify and propose enhancements to document control workflows, standard templates, filing systems, and digital management methods to improve efficiency, consistency, and data integrity.
Requirements
- Bachelor’s degree in Business Administration, Information Management, Records Management, or a related discipline.
- Minimum 4 years’ experience in document control, records management, procurement administration, or similar fields.
- Familiarity with document management software such as Aconex, SharePoint, EDMS, or equivalent platforms.
- Meticulous attention to detail with the ability to handle extensive, confidential, and time-critical documents.
- Good knowledge of procurement governance, compliance protocols, and approval procedures.
- Strong organizational, coordination, and interpersonal communication abilities to collaborate within cross-functional environments.
- Proficient in Microsoft Office applications, especially Excel, Word, and PowerPoint.
- Excellent English language communication skills.
- Willingness to travel to project locations as necessary.
