Opportunity Overview
We seek a Senior Executive Assistant to support our Chief Executive - Security and Executive Team from our Hamilton base. This role involves providing proactive, high-level administrative support, enabling leadership effectiveness through calendar management, travel coordination, communications, meetings, reporting, and strategic initiatives.
Key Responsibilities
- Offer comprehensive executive assistance including managing schedules, correspondence, travel, expenses, and daily administration for the Chief Executive - Security.
- Organise Executive Team meetings, leadership forums, governance actions, reporting cycles, and key events from planning through execution and follow-up.
- Develop and oversee briefing materials, presentations, papers, and communications to ensure informed decision-making.
- Monitor decisions, track actions and dependencies, maintaining visibility to guarantee critical follow-through.
- Support projects, process enhancements, stakeholder communications, and collaborations within Gallagher Security and the wider company.
Candidate Profile
An accomplished Executive Assistant with strong organisational skills, proactive mindset, and the ability to manage multiple priorities in a fast-paced environment. You build trusted relationships and exercise discretion while delivering detailed and professional support.
Required Skills & Experience
- Experienced supporting Chief Executives or senior leadership teams.
- Proficient in managing complex calendars, travel, expenses, correspondence, and meeting logistics.
- Skilled in coordinating governance processes, leadership meetings, reporting cycles, and action tracking.
- Adept at preparing, reviewing and quality-checking executive reports, briefings, and presentations.
- Advanced Microsoft 365 skills including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint; quick to adopt new tools.
- Exposure to process improvements, project coordination, office management, or cross-functional initiatives.
- Experience engaging global stakeholders across various time zones is advantageous.
