Job description
Overview
The RFP Coordinator will oversee the complete response cycle for Requests for Proposals (RFPs), ensuring that submissions are precise, compliant, and punctual. This role demands a proactive, self-reliant professional with excellent critical thinking and collaboration skills to produce high-quality, polished proposal documents.
Key Responsibilities
- Own the entire RFP, RFI, and RFQ response process from receipt to submission.
- Interpret and translate RFP requirements into actionable plans.
- Engage with cross-functional internal teams to collate relevant data and insights.
- Utilize critical thinking to craft tailored, accurate, and persuasive responses.
- Guarantee all proposals adhere to client specifications, compliance regulations, and deadline commitments.
- Serve as the main liaison, ensuring clear and professional coordination among teams.
- Communicate with sales and clients to clarify expectations and requirements.
- Manage and improve a centralized repository of proposal materials and historical submissions.
- Identify opportunities to enhance response quality, consistency, and response processes.
- Follow established procedures, templates, and timelines to ensure consistency across submissions.
Qualifications
- Post-secondary education in Business, Administration, or related disciplines, or equivalent experience.
- Strong organizational and analytical abilities to handle multiple competing priorities.
- Excellent verbal and written communication skills.
- Ability to critically evaluate complex requirements.
- Self-driven, confident, and capable of working independently with little oversight.
- A cooperative attitude, openness to feedback, and a collaborative approach.
- Exceptional time management skills and meticulous attention to detail.
- Proficient in Microsoft Office Suite including Word, Excel, and Outlook.

Additional Details
Location: Burlington, Ontario (in-office position). Work schedule: Monday to Friday, 40 hours per week.
Salary range: CAD 40,000 to CAD 45,000 annually.
Position type: ongoing full-time role.
