Job description
Job Purpose
The role is centered on optimizing the planning and coordination of divisional resources to ensure effective functioning. It requires a comprehensive understanding of inter-departmental interactions to meet all employee requirements efficiently.
Qualifications and Skills
Candidates should hold a Bachelor's degree in Administration or a related discipline and possess fluency in English, covering reading, writing, and verbal communication. Essential personal attributes include meticulous attention to detail, a safety-conscious mindset, physical capability, strong problem-solving skills, adaptability, effective time management, a solid work ethic, and the ability to collaborate well within a team.
Experience
Applicants must have between one and three years of relevant professional experience. Experience within the marine port industry is considered a valuable advantage.
Key Responsibilities
- Manage and coordinate the Behavioral Improvement and Consequence Management (BICM) activities.
- Organize, supervise, and control the Technical Services Division (TSD) employee vacation schedules.
- Identify, assess, and address personnel-related issues, escalating when necessary.
- Ensure all work meets the highest standards, considering available resources and departmental requirements.
- Comply with all company rules, regulations, policies, and procedures, facilitating their enforcement within the division.
- Collaborate with the HR division and Port Authority for strategic alignment and information exchange.
- Coordinate procurement of government and Port Authority documentation such as IQAMA, Port Permits, Insurance, and Certificates.
- Oversee the TSD training matrix management and career path planning for employees.
- Manage personnel scheduling, review time records, prepare overtime requests, and analyze scheduling system reports for accuracy.
- Perform other reasonable tasks related to the overall job function.
- Prepare monthly incentive reports for the finance division.
- Maintain the Document Management System, ensuring compliance with procedures for revision, communication, and disposal across the department.
Performance Metrics
- Control and manage incentive costs.
- Produce monthly reports on duty hours.
- Oversee project management tasks.
- Ensure completion of scheduled training programs.
- Monitor progress of employee vacation plans.
Technical Competencies
- Prepare for and conduct audits.
- Basic budgeting skills.
- First aid knowledge.
- Intermediate proficiency in Microsoft Office applications including Excel, Word, PowerPoint, and Outlook.
- Basic project management capabilities.
- Ability to perform root cause analysis.
- Familiarity with governmental rules and regulations related to processes.
- Competent in statistical analysis.
- Efficient management of time and resources.
- Application of time management techniques.
- Effective verbal and written communication skills.
