About the Role
The Receptionist plays a vital role in forming a professional and welcoming first impression for visitors and callers by maintaining a helpful and approachable concierge presence. The goal is to deliver exemplary guest service within a neat and organized reception environment.
Primary Duties
- Answer and transfer phone calls promptly, take and forward messages appropriately.
- Demonstrate attentiveness and initiative to anticipate needs, ensuring efficient and friendly service at the front desk.
- Coordinate all mail and courier logistics, including collection, distribution, and record keeping.
- Frequently update the telephone directory to maintain accuracy.
- Operate coffee machines, kitchen devices, and meeting room equipment proficiently.
- Arrange bookings for meetings and set up video conference dial-ins.
- Report maintenance issues such as lighting, air-conditioning, or restroom malfunctions and liaise with building maintenance teams to resolve.
- Welcome guests and serve beverages and meals as required.
- Coordinate food orders and collection for meetings such as breakfast, lunch, and board meetings.
- Prepare meeting rooms by arranging tables and chairs for meal services.
- Occasionally provide support during weekend events and meetings.
- Assist with catering orders and event preparations.
- Maintain accurate inventories of dining and pantry supplies, including cutlery, glassware, serving equipment, and stationery used in meeting rooms.
- Monitor visitor traffic, meeting room usage, and general office activities, responding proactively as needed.
Qualifications and Skills
- At least three years of relevant receptionist or customer service experience.
- Strong communication skills to ensure smooth collaboration among team members.
- Ability to work effectively in a multicultural and diverse environment.
- Understanding of the importance of confidentiality and discretion.
- Highly motivated, enthusiastic, well-organized, with excellent multitasking abilities.
- Familiarity with telephone etiquette and professional conduct.
- Dependable and punctual with a strong sense of teamwork.
- Educational qualification: Diploma or higher.
