Our Radiology department is a leading diagnostic imaging center in Scotland. It supports specialist hospital services as well as patients from across various Health Boards. As the country's national waiting times center for diagnostic imaging, the department actively works to reduce wait times and enhance access to care. The department also hosts the National Ultrasound Training Programme to nurture forthcoming healthcare professionals.
Role Overview
With continuous service growth, we seek a highly organized and driven Radiology Admin Coordinator to join our active and supportive team.
This essential role within Radiology offers extensive administrative, clerical, and secretarial assistance to the Radiology Management Team, Consultant Radiologists, and the broader multidisciplinary staff. The coordinator will serve as a primary contact point facilitating communication, coordination, and operational efficiency within the department.
Key Responsibilities
- Managing intricate calendars and organizing meetings efficiently.
- Preparing meeting agendas and accurately documenting minutes.
- Arranging consultant and departmental staff schedules, including managing annual leave and on-call duties.
- Assisting with payroll and workforce-related administrative functions.
- Maintaining departmental databases, filing systems, and records.
- Delivering top-quality support to senior leaders and clinicians.
- Utilizing various specialized NHS and Radiology IT systems.
The role offers a dynamic work environment where each day brings new challenges and opportunities.
Candidate Profile
Ideal candidates will have a substantial background in administration, preferably within the healthcare sector, coupled with excellent organizational skills and the ability to juggle multiple tasks while maintaining precision under pressure. Building effective relationships and collaborating with diverse stakeholders are also vital.
Essential Qualifications & Skills
- HNC or SVQ Level III qualification in Secretarial Studies, Business Administration, or comparable experience.
- Extensive administrative experience, ideally within healthcare.
- Strong planning, organizational, and time management abilities.
- Proficiency in advanced Microsoft Office applications, particularly Excel, Word, Outlook, and Teams.
- Excellent communication and interpersonal skills, characterized by tact, diplomacy, and professionalism.
- Experience managing sensitive and confidential data.
- Ability to work autonomously while contributing constructively to a team environment.
- A flexible and positive attitude towards adapting to evolving service demands.
