Job description

Role Overview

JTCC seeks a Projects & Executive Support Specialist to ensure the seamless progression of strategic projects and to provide direct administrative assistance to the CEO and COO. Reporting to the COO, this position plays a central role in organizational effectiveness by managing complex projects and supporting executive operations.

Key Responsibilities

  • Lead and maintain detailed project plans including timelines, milestones, task ownership, and regular stakeholder updates.
  • Initiate new projects by identifying stakeholders, establishing tracking systems, scheduling kickoff meetings, and aligning team members prior to commencement.
  • Conduct recurring project meetings that facilitate agendas, document decisions, and distribute action points.
  • Oversee project deadlines in collaboration with department leaders and personnel.
  • Simultaneously advance multiple projects across various departments while ensuring none are neglected.
  • Identify and communicate potential risks or delays early, outlining blockers, responsible parties, impact, and devising solutions.
  • Coordinate contributions from different organizational levels to support board meetings, strategic planning, and annual goal formulation.
  • Support executive leadership by managing calendars, scheduling, balancing priorities, and safeguarding strategic work time.
  • Arrange meeting logistics, prepare agendas, and track follow-ups diligently for CEO and COO.
  • Draft, proofread, and format correspondence, presentations, and reports on behalf of senior executives.
  • Serve as liaison between executive offices and internal teams, exercising sound judgment regarding escalation of issues.
  • Manage confidential financial, personnel, and organizational details with utmost discretion.

Qualifications

  • A bachelor's degree is preferred, with equivalent experience accepted.
  • Three to five years' experience in project coordination, program administration, operations, or similar roles.
  • Demonstrated capability to juggle multiple projects effectively and keep them on schedule.
  • Strong proficiency in verbal and written communication.
  • Comfortable using Microsoft Office Suite including Excel.
  • Ability to work autonomously, meet deadlines, and consistently follow through without intensive supervision.
  • Trustworthiness in handling sensitive and confidential information.
  • Experience within nonprofit organizations or small organizations is advantageous but not mandatory.

Compensation and Benefits

The annual salary range for this position is $60,000 to $70,000, with the exact figure depending on qualifications, experience, and location. JTCC provides a comprehensive benefits package including health insurance, paid time off, and access to JTCC tennis facilities.
