Position Overview
Located in Lomé, Togo, the Project Management Support Officer joins a UNOPS team dedicated to supporting Togo's national initiatives. This role enhances operational, analytical, and reporting capacities for the project portfolio, acting as a vital link between project teams, support service units, and external partners. The Officer’s input ensures smooth administrative workflows, reliable monitoring data, and swift organizational responses to complex development project needs.
Role Purpose
The Officer aims to facilitate project success through operational excellence, actionable data, and effective coordination. They provide operational, analytical, and administrative assistance ensuring efficient planning, implementation, and monitoring aligned with UNOPS policies and partner requirements. Responsibilities include supporting data management, report generation, procurement, financial, and logistical tasks essential for project delivery.
Main Responsibilities
- Collect, clean, organize, and validate project data to ensure accuracy, consistency, and dependability.
- Develop and maintain databases, dashboards, and information systems for real-time project tracking.
- Conduct both statistical and qualitative analyses to uncover trends, derive insights, and support evidence-based decisions.
- Prepare analytical and visual reports, brief notes, and presentations for internal and external stakeholders.
- Implement automated tools and visualization systems like Power BI or Looker Studio to enhance data accessibility and interpretation.
- Carry out rigorous data quality checks and validate sources and data tools.
- Assist project planning, budgeting, and execution, ensuring adherence to UNOPS and donor/client procedures.
- Prepare project documentation such as Terms of Reference, agreements, budgets, and procurement requests.
- Coordinate workshops, missions, and stakeholder consultations including travel and logistical arrangements.
- Liaise with support units on procurement, contracting, and payment processes to ensure compliance with UNOPS standards.
- Monitor project milestones, outcomes, and deliverables, alerting management to delays or risks.
- Support administrative, financial, and procurement coordination by preparing and tracking purchase plans and event arrangements aligned with project needs.
- Conduct market research, assist solicitation procedures, evaluate bids, and help administer contracts.
- Oversee project budget usage, review financial reports, and maintain audit-ready documentation.
- Manage travel arrangements, expense claims, and related financial transactions in line with organizational policies.
- Develop and operate tracking systems and tools for monitoring progress against work plans and performance indicators.
- Contribute to predictive and analytical models supporting strategic planning and forecasting.
- Support internal evaluations and performance reviews grounded in data to assess project results and impacts.
- Deliver timely inputs for donor and partner reporting, ensuring analytical rigor and compliance with reporting standards.
- Support the organization and facilitation of project management training and learning sessions.
- Participate in knowledge sharing activities and communities of practice, contributing insights and lessons learned.
- Conduct research on project management topics and assist in writing reports, summaries, and information notes.
Education Requirements
- A Master’s degree or equivalent in any discipline with at least two years of relevant experience, OR
- A Bachelor’s degree or equivalent in any discipline with no prior experience required.
- Professional certification or membership in a globally recognized project management organization is desirable.
Experience Requirements
- Relevant experience in project management or related fields is required.
- Proficiency with collaboration and productivity tools (e.g., MS Office, G-Suite) and web-based management systems is essential.
- Experience working within multicultural environments or UN system organizations in developing countries is advantageous.
- Experience in development or humanitarian contexts is valued.
