About the Role
This role is for a Project Cost Administrator working remotely from Saudi Arabia. You will be responsible for ensuring the accuracy and completeness of project cost records, supporting Project Managers, Engineers, and Site Supervisors with reliable financial and operational data necessary for effective project management. You will collaborate with an Australian project team and coordinate with suppliers and site teams to manage and update various project-related documentation.
Key Responsibilities
- Accurately process supplier delivery dockets within a 24–48 hour timeframe.
- Reconcile delivery dockets and supporting documents with purchase orders to guarantee comprehensive project records.
- Apply correct project and cost codes, maintaining a coding accuracy target of 99% or higher.
- Input, update, and maintain project cost information within Workbench to ensure data integrity.
- Manage timesheets, labor records, plant records, supplier data, and other relevant project documentation.
- Review records meticulously to detect duplicates, discrepancies, incorrect coding, and missing information.
- Maintain a register of outstanding dockets and proactively pursue resolution of unresolved items.
- Communicate effectively with site teams and suppliers to obtain necessary documentation and resolve issues.
- Ensure proper organization, accuracy, and accessibility of project documentation for stakeholders.
- Provide timely and precise supplier, labor, plant, and project cost information to relevant project personnel.
- Maintain high data integrity standards across all project records and anticipate issues to prevent rework.
- Consistently meet deadlines while upholding a strong focus on accuracy and detail.
Candidate Requirements
- Minimum of two years professional experience in project, cost, accounts, construction administration or a related field.
- Advanced expertise in Workbench software is essential.
- Proven background handling project costs, delivery dockets, purchase orders, timesheets, labor and plant records.
- Solid understanding of project and cost coding with experience maintaining highly accurate records.
- Exceptional data entry and record management capabilities with a strong accuracy focus.
- Ability to identify and address duplicate records, discrepancies, or missing data effectively.
- Excellent communication and follow-up skills for engaging with suppliers and project teams.
- Strong organizational skills and ability to manage multiple priorities meeting strict deadlines.
- Capable of working independently with minimal supervision in a remote setting, while being accountable to the broader project team.
- Reliable internet and appropriate home work environment for sustained remote work.
- Prior experience in Australian construction, civil engineering, infrastructure, or project-centric sectors is highly advantageous.
- Background supporting Project Managers, Engineers, or Site Supervisors is preferred.
- Experience with maintenance of plant, labor, supplier, and project cost records is beneficial.
