Overview
The Project Coordinator role supports the Project Management Team by handling administrative, coordination, and reporting tasks throughout the project lifecycle. This entry-level position provides a comprehensive introduction to project management activities, including document control, reporting, planning, coordination, and stakeholder communication, with a clear path for advancement into a Project Manager role based on performance and initiative.
Key Responsibilities
- Assist with document control by preparing, coordinating, and monitoring submissions and correspondence between contractors, clients, and subcontractors.
- Maintain document registers, logs, and ensure compliance with project procedures regarding document numbering and revisions.
- Support improvements to document control processes and help project team members access documentation efficiently.
- Coordinate weekly and monthly project reporting, gathering progress updates and performance data from various departments including engineering, procurement, construction, planning, HSE, quality, and commercial teams.
- Prepare photographic progress reports and consolidate data into standard templates, tracking deadlines to ensure timely reporting and presentations for management and client meetings.
- Provide day-to-day project administration support, monitor open issues, risks, and deliverables, maintaining trackers, dashboards, and registers.
- Assist in coordinating cross-functional interfaces and maintaining project procedures, templates, and documentation.
- Organize project meetings, manage invitations, agendas, logistics, and record meeting minutes, along with action items and decision logs ensuring follow-up through to closure.
Qualifications
- Bachelor's or Master's degree, or relevant diploma in Engineering, Construction Management, Business Administration, or related field.
- Two to five years of experience in project coordination, administration, or document control related to engineering or construction projects.
- Preferably experienced with EPC (Engineering, Procurement, and Construction) or infrastructure projects.
Skills and Competencies
- Strong organizational and time management capabilities.
- Meticulous attention to detail and accuracy.
- Excellent English verbal and written communication skills.
- Proficiency with Microsoft Office applications (Excel, Word, PowerPoint, Outlook).
- Familiarity with electronic document management tools such as Aconex, Autodesk Construction Cloud, or SharePoint is advantageous.
- Ability to handle multiple priorities in a dynamic project setting.
- Strong interpersonal skills enabling coordination across diverse teams.
- Self-driven and able to work independently with minimal supervision.
