Job description
Overview
This role is part of the Infrastructure and Assets Group dedicated to planning, building, and maintaining resilient infrastructure that supports and enriches the Hamilton community today and into the future. As a Programme Coordinator within the Design & Deliver Unit, you will support the Portfolio Office by coordinating and facilitating the delivery of the city’s capital infrastructure programme.
Key Responsibilities
- Organize and manage programme meetings, prepare documentation, take minutes, and track action items.
- Assist the delivery process across all stages of the programme lifecycle from initial planning through to project closure.
- Create comprehensive, high-quality reports, dashboards, and presentations for programme and project governance.
- Ensure correct application of programme and project methodologies to enhance project management capabilities.
- Support financial oversight including processing purchase orders, forecasting budgets, and monitoring expenditures.
- Maintain programme schedules, track key milestones, and manage dependencies between projects.
- Assist with risk, issue, and change management activities.
- Operate within council policies and procurement systems, including the use of Psoda software.
- Facilitate communication and coordination among project teams, portfolio office, and broader council stakeholders.
- Contribute to continuous improvement initiatives, foster positive team culture, and uphold health and safety standards.

Qualifications and Experience
- Tertiary qualification in business, project management, or a related field.
- 8 to 10 years of relevant experience in project or programme coordination.
- Professional certifications such as Prince2, PMP, or a New Zealand Certificate/Diploma in Project Management (Level 4-5) or equivalent.
- Experience supporting governance, coordination, reporting, and documentation within capital delivery or infrastructure environments.
- Ability to concurrently manage multiple projects or programmes in a structured delivery setting.
- Proficiency in financial administration related to projects, including budgeting, forecasting, and expenditure oversight.
- Skilled in preparing and maintaining governance and delivery documentation and reports.
- Understanding of Health and Safety requirements applicable to capital projects.
- Competency with project management systems like Psoda and Microsoft Office tools including Teams, Project, Excel, and Outlook.
- Strong prioritization and independently managing workload demands.
- Excellent interpersonal and communication skills, capable of engaging a diverse range of internal and external stakeholders.
Compensation and Benefits
The annual salary ranges from approximately 80,000 to 87,000 NZD depending on skills and experience.
