Job description
Role Summary
We are seeking an astute, proactive, and well-organized Program Manager specializing in Business Operations to oversee and drive daily execution across multiple teams within the company. This position serves as a critical bridge between senior executives and various departments, ensuring clarity in priorities, diligent follow-through on action items, and alignment of teams towards common business goals. This role emphasizes coordination and execution rather than technical or site-based project management, blending the responsibilities of an operations manager, chief of staff, and internal project facilitator.
Key Duties and Responsibilities
- Serve as the primary liaison and coordinator connecting various business units and teams.
- Collaborate closely with leaders across the business to synchronize priorities, monitor deadlines, and manage expectations effectively.
- Ensure that tasks assigned from leadership meetings are actively completed and not merely recorded.
- Support the smooth operation of daily functions and ensure adherence to standard operating procedures (SOPs) by all teams.
- Recognize and address daily operational challenges by recommending actionable process enhancements.
- Oversee team members across multiple departments through dotted-line reporting relationships, facilitating coordination.
- Keep track of timelines for ongoing projects and step in to resolve any delays or obstacles promptly.
- Rapidly grasp diverse business contexts and craft clear, professional correspondence and status updates tailored for different audiences.
- Summarize multi-team progress and issues into succinct reports suitable for executive review.
- Adapt to the evolving business environment by assuming new and unplanned duties as the company grows.
Candidate Requirements
- Experience: Between three to six years in project management, business operations, or program management roles involving cross-functional coordination within corporate or business environments such as startups, IT, consulting, service sectors, D2C, or agencies. Experience in construction, interior design, or site-specific project management is not relevant.
- Communication: Outstanding proficiency in English, both written and verbal, with the ability to adjust tone effectively from peer-level interactions to executive communications.
- Relationship Management: Demonstrated skill in persistent yet tactful follow-ups, including with individuals outside of direct reporting lines.
- Work Ethic: Strong attention to detail combined with a proactive, results-driven attitude that ensures nothing is neglected.
- Problem Solving: Ability to manage multiple concurrent tasks and adapt swiftly to changing priorities.
- Technical Skills: Competency with Microsoft Office suite and Google Workspace applications, including Docs, Sheets, Slides, and Email.
- Confidentiality: Excellent discretion in managing sensitive business information professionally.
