Job Overview
We are seeking a Procurement Officer to manage vendor relationships, contract coordination, and procurement support within a healthcare or regulated setting. This role requires legal expertise and experience in supply chain or procurement operations.
Educational and Professional Requirements
- Bachelor's degree in Law (LL.B, BL)
- Between 3 to 5 years of practical experience in procurement, supply chain management, legal operations, or vendor management
- Prior work experience in healthcare or other regulated industries is considered a plus
Key Responsibilities
- Manage vendor registration processes including vetting and maintaining an approved vendor database across various service categories
- Ensure vendors have all necessary statutory, professional, regulatory, and compliance documents valid and up to date
- Conduct regular vendor revalidation and database cleansing to keep records accurate and compliant
- Maintain detailed records of vendor eligibility and due diligence activities
- Coordinate contract submissions to the Legal team for review, ensuring timely follow-ups and incorporation of legal comments prior to finalizing agreements
- Keep records of contracts at different stages: review, negotiation, approval, and execution
- Support the procurement process by administering contracts and documentation, ensuring vendor communications are handled efficiently
- Collaborate with legal experts to mitigate vendor risks and guarantee contracts comply with approved budgets and terms
- Act as the conduit between Legal and all internal/external stakeholders throughout contract lifecycle processes
- Respond promptly to contract inquiries and support departments in understanding their contractual obligations
- Monitor contract performance, track milestones, delivery timelines, and renewal dates, and escalate any issues or risks
- Prepare regular reports on contract statuses, vendor performance, and compliance tracking
- Support audits related to procurement and contract management by preserving comprehensive, accessible, and compliant records
