Job description
Job Overview
The Procurement Clerk plays a key role in managing communication and relations with the university’s suppliers and internal departments, ensuring smooth handling of procurement procedures for goods and services.
Key Duties
- Maintain effective communication with vendors, suppliers, and customs brokers as needed.
- Coordinate communications between Accounting, Receiving, and Purchasing Departments.
- Prepare purchase order documentation for university sourcing activities.
- Advise various university departments on purchasing decisions.
- Receive, evaluate, and process requisitions following university guidelines.
- Manage department-specific filing tasks.
- Perform additional duties assigned by the Purchasing Manager.
Required Knowledge and Skills
- Capable of working independently or collaboratively within a team.
- Maintain accurate and organized records for numerous customer orders.
- Flexible, proactive, and able to operate without close supervision.
Qualifications
- High School Diploma with CXC Math and English.
- Minimum of one year’s experience in an office setting.
- Proficiency with Microsoft Office Suite.
- Experience using SAP Concur.
- Knowledge of Banner Computer System is preferred.
Work Environment and Physical Requirements
- This role is based in a professional office environment.
- Utilizes standard office equipment such as computers, phones, and filing cabinets.
- Primarily sedentary work requiring sustained concentration across multiple tasks.
Working Hours and Travel
- Standard work week of 40 hours, Monday to Friday, with flexible start, break, and end times.
- Limited optional local travel may be involved.
- Overtime work is required as necessary.
