About the Role

As an integral member of the Office Operations team, you will be pivotal in guaranteeing seamless daily operations across the Firm. The team oversees global and local infrastructure, services, and systems supporting our office environments both on-site and remotely, including security, safety, and client-facing areas. You will provide executive assistant support while helping uphold high standards for client and visitor experiences and lead initiatives in environmentally sustainable office practices.

Key Responsibilities

  • Deliver comprehensive administrative assistance to partners and lawyers within the Project Finance Practice, including coordinating meetings, booking rooms, managing calls, organizing travel arrangements, and processing expense reports.
  • Draft legal documents, correspondence, and communications, potentially liaising directly with clients to schedule meetings.
  • Collaborate with the Billings team to prepare invoices and coordinate with various business support groups.
  • Facilitate the setup of new matters through New Business Intake and enable conflicts clearance.
  • Work alongside Business Development to maintain client relationships and regularly update the CRM system.
  • Manage workload to meet established deadlines effectively.
  • Exercise sound judgment consistently; seek clarification when instructions are unclear and communicate feedback or concerns efficiently.

Required Skills and Experience

  • Preferable experience supporting lawyers and professional support lawyers within a law firm environment.
  • Familiarity with billing systems such as 3e and expense management software.
  • Proficient in Microsoft Office applications, particularly Word (typing and formatting) and PowerPoint.
  • Experience arranging domestic and international travel is preferred.
  • Professional telephone etiquette.
  • Strong organizational and time management abilities.
  • Sound judgment, inquisitiveness, and effective communication skills.
  • Demonstrated integrity and conscientiousness.
  • Capability to develop strong working relationships.
  • Ability to work autonomously as well as collaboratively within a team.
  • Exceptional attention to detail.
