Position Overview
Based in Madinah, Kingdom of Saudi Arabia, we seek a proactive PMO / Reporting & Coordination Engineer. This role involves hands-on coordination and report management supporting various engineering project functions, primarily on large-scale building, hospitality, mixed-use, infrastructure, or construction programs. It requires regularly interfacing with engineers, designers, contractors, subcontractors, and other stakeholders to ensure decisions and technical matters are correctly followed up and resolved.
Key Responsibilities
- Assist the Engineering Manager and cross-disciplinary engineering teams with day-to-day coordination, follow-up, progress tracking, and reporting activities.
- Manage multiple trackers and logs, including engineering action items, deliverables, meeting actions, issues, RFIs/design queries, submittals, and progress dashboards.
- Document and track minutes, decisions, and action owners from coordination meetings while ensuring timely completion of assigned tasks.
- Conduct regular follow-ups with all technical stakeholders to collect responses, approvals, updates, and resolve pending inputs.
- Compile and deliver succinct daily, weekly, and monthly progress summaries, management briefs, look-ahead schedules, and dashboards.
- Identify and escalate potential delays, conflicts, missing data, and risks to the Engineering Manager promptly.
- Support coordination of deliverables, design feedback, technical submissions, workshops outcomes, correspondence, and close-out documentation.
- Review technical notes and correspondence to determine responsibilities, deadlines, and required actions accurately.
- Collaborate with document control teams to maintain organized, traceable, and up-to-date records and correspondence files.
- Promote consistent communication, timely follow-ups, accurate reporting, and effective information flow across engineering management functions.
Qualifications and Skills
- Bachelor’s degree in Engineering, Construction Management, Project Management, Architecture, or similar field.
- Three to five years’ experience in engineering coordination, project coordination, PMO support, or technical office roles within large-scale building or infrastructure projects.
- Strong proactive follow-up capability to monitor and close open actions effectively.
- Familiarity with engineering deliverables, design reviews, RFIs, submittals, technical correspondence, and multidisciplinary coordination processes.
- Proficient in Microsoft Office suite (Excel, Word, PowerPoint, Outlook); experience with Power BI or dashboard reporting is advantageous.
- Knowledge of document management platforms such as ACONEX, SharePoint, or ACC is preferred.
- Basic understanding of planning tools like Primavera P6 or Microsoft Project is beneficial though not required for a senior planner role.
- Fluent English communication skills, both written and verbal, with confidence to engage various project stakeholders.
- Strong organizational aptitude, attention to detail, tenacity, and ability to handle multiple deadlines in a site-based environment.
- Work experience on Middle Eastern projects is desired; experience in Saudi Arabia is considered an asset.
