Role Overview

Reporting directly to the Founder & Director, this role provides comprehensive support managing his commercial, educational, property, and stakeholder engagements. Serving as the Director's key point of contact within Australia, the role encompasses managing communications, scheduling, and operational tasks while driving the Director in a company vehicle.

Key Responsibilities

  • Serve as the primary liaison for the Director’s Australian stakeholders including teams, partners, advisors, and commercial contacts.
  • Coordinate communications across various brand entities and prepare briefing materials and actionable follow-ups.
  • Manage the Director’s inbox: prioritize, draft emails reflecting his voice, and ensure confidential handling of correspondence.
  • Oversee the Director’s calendar, scheduling and protecting focus time, arranging meetings across time zones, and preparing necessary documents.
  • Drive the Director to meetings in a company car, planning routes and maintaining the vehicle's upkeep.
  • Manage daily office needs including vendors, building management, IT support, and minor facilities maintenance.
  • Organize domestic and international travel, visas, and related logistics, preparing full travel itineraries and documentation.
  • Prepare, proofread, and manage confidential documents, contracts, and presentations with proper version control.

Success Indicators

  • Director’s diary and email communications are efficiently controlled daily.
  • Stakeholders receive timely, professional replies.
  • Meetings occur punctually with all materials and transport arranged.
  • Office and infrastructure issues are addressed proactively without Director involvement.
  • Absolute confidentiality and sound judgement maintained under pressure.

Essential Qualifications and Skills

  • Demonstrated experience as a Personal or Executive Assistant, ideally supporting founders or directors.
  • Fluent English communication skills, both written and spoken, with the ability to compose professional emails.
  • Expertise in managing calendars, emails, and stakeholder relationships effectively.
  • Possession of a current Australian full driver’s license and readiness to operate a company car.
  • High integrity in handling sensitive information.
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) and familiarity with Google Workspace.
  • Ability to remain calm and prioritize tasks proactively in a dynamic environment.
  • Legal right to work in Australia.

Preferred Attributes

  • Background in education, educational technology, or managing multiple business entities.
  • Experience coordinating complex travel schedules and visa arrangements.
  • Knowledge of Melbourne CBD and North Melbourne logistics and parking considerations.
  • Experience in light facilities and vendor coordination.
  • Competence in preparing meeting packs and board-level documents.

Additional Information

  • Position is based in Melbourne with primarily onsite work alongside the Director.
  • A company car is provided for business-related travel linked to the Director’s appointments.
  • The role may require early starts, after-hours support, and occasional interstate travel.
  • Flexibility is necessary to accommodate the Director’s domestic and international commitments.
