Job description
Job Overview
This permanent full-time position is based in Doha, Qatar, supporting the Non-Academic Administration department under the direct supervision of the Principal. The Personal Assistant plays a vital role in assisting school management by managing correspondence, coordinating communications, and supporting school administration functions.
Key Responsibilities
- Conduct orientation and induction sessions for new parents and students to familiarize them with school processes.
- Lead specific projects and undertake research assignments as required.
- Support the regular review and updating of school policies and facilitate their publication on the School Portal upon approval.
- Compose, edit, and dispatch various documents including reports, newsletters, agendas, minutes, and official correspondence, ensuring all outgoing communications bear the Principal's signature.
- Oversee office systems, including data management and filing, to maintain efficient administrative workflows.
- Utilize IT tools to prepare presentations for meetings, conferences, and recruitment events.
- Manage office budgets and take responsibility for school accounts, ensuring financial decisions align with organizational needs.
- Attend Senior Leadership Team (SLT) meetings and deputize for SLT managers by making decisions and delegating tasks in their absence.
- Coordinate documentation flow between homes and the school effectively and uphold strict confidentiality at all times.
- Provide direct support to the Principal and Head of Departments as necessary.
- Enhance operational efficiency by streamlining processes within the administrative team.
- Fulfill additional duties that support the smooth running of school functions.
Health and Safety
- Promote safety awareness across the curriculum, encouraging responsible behavior towards personal and communal safety, as well as respect for school property and equipment.
- Perform playground supervision duties punctually and with care to ensure student safety.
- Take necessary precautions to protect students, school materials, equipment, and facilities.
- Assist with enforcing policies and rules related to student behavior and school conduct.
- Ensure compliance with all health and safety rules and procedures within the school.
- Maintain up-to-date knowledge of health and safety standards relevant to school operations.
