Role Overview

The Payroll Specialist will be responsible for independently managing the entire monthly payroll cycle for all employees with precision and punctuality. This role demands an uncompromising zero-error standard while ensuring full adherence to Indian statutory regulations covering PF, ESI, PT, TDS, LWF, Gratuity, and Bonus Act. The specialist will also act as the primary contact for employee salary-related queries.

Core Responsibilities

  • Execute the complete monthly payroll including attendance, leave, overtime, incentives, and deductions.
  • Maintain up-to-date payroll records reflecting new employees, exits, salary changes, transfers, and promotions.
  • Ensure timely payment of salaries, full and final settlements, and reimbursements, coordinating with banking partners as needed.
  • Address employee inquiries regarding salaries, tax deductions, payslips, and Form 16 documentation.
  • Handle statutory compliance by managing timely remittances and filings related to EPF, ESI, Professional Tax, LWF, Gratuity, and Bonus policies.
  • Calculate and reconcile TDS deductions; collaborate with finance teams on related returns and year-end processes.
  • Keep abreast of updates in labor and tax laws to adjust payroll operations accordingly.
  • Generate payroll management information systems (MIS), headcount and cost reports, salary registers, and variance analyses.
  • Support both internal and statutory audits with complete reconciliations and documentation.
  • Work closely with HRMS and payroll software providers for system maintenance, data consistency, and automation opportunities.
  • Maintain strict internal controls over payroll data security and governance.

Qualifications and Skills

  • 3 to 6 years of experience managing payroll for organizations with 500 or more employees.
  • Educational background in B.Com, BBA, HR, or related disciplines; advanced degrees like MBA or PGDM in HR or Finance preferred.
  • Solid knowledge of Indian payroll laws including PF, ESI, Professional Tax, LWF, Gratuity, Bonus Act, and TDS.
  • Proficiency with payroll or HRMS platforms such as Keka, Darwinbox, GreytHR, SAP, ADP, or comparable systems.
  • Advanced skills in Microsoft Excel including functions like VLOOKUP, pivot tables, and formula creation for effective reconciliation and reporting.
  • Exceptional attention to detail with the ability to meet strict payroll deadlines.
  • Strong ethical standards in managing sensitive employee information.
  • Additional advantage: experience in handling payroll for more than 1,000 employees.
