About the Role
The Payroll Coordinator plays a crucial role in maintaining accurate and compliant payroll and employee benefits administration. This position requires a detail-driven individual with excellent organizational skills and a strategic mindset to enhance the employee experience while ensuring regulatory compliance.
Qualifications
- At least five years of experience or equivalent education in payroll and benefits management.
- Experience using UKG Pro and Workforce Management platforms is highly valued.
- Strong understanding of benefits programs, pension plans, labor laws, Workers' Compensation Board (WCB) requirements, and Canada Revenue Agency (CRA) compliance.
- Proficient in payroll-related accounting tasks, including journal entries and account reconciliations.
- Exceptional attention to detail and ability to adhere to tight deadlines.
- Excellent communication skills promoting positive interactions at all organizational levels.
- Advanced skills in Microsoft Excel, with working knowledge of Word and Outlook.
- Certifications such as CEBS or PCP from the Canadian Payroll Association are considered beneficial.
Primary Responsibilities
- Manage accurate and timely enrollment for company benefit and pension plans.
- Provide ongoing benefits and pension information to employees from hiring until retirement or departure.
- Coordinate annual open enrollment for eligible salaried and hourly workers.
- Serve as a key resource regarding group benefits and pension plan inquiries.
- Support employee leaves including maternity, parental, and disability leave.
- Handle confidential employee communications and inquiries professionally.
- Process payroll-related benefits and retirement reports such as deductions and contributions.
- Generate HR and payroll analytics and reports for management.
- Review and process invoices from benefits vendors promptly.
- Perform month-end closing procedures including journal entries within JDE systems.
- Conduct quarterly reconciliation of general ledger accounts related to payroll and benefits.
- Carry out audits routinely to ensure data integrity and compliance with policies and laws.
- Provide backup support for full-cycle biweekly payroll processing for hourly employees.
