About the Role
We seek a Packing and Dispatch Coordinator responsible for supervising the concluding phases of shipping goods, including managing packaging to guarantee products are prepared securely, precisely, and efficiently for delivery to customers and the warehouse.
This position involves handling a specific inventory section, retrieving required items, inspecting their storage condition, and preparing them for shipment. The role reports to the Deputy VP Supply Chain Management and Executive Manager: Warehouse.
Key Responsibilities
- Manage and process customer orders daily, verifying order accuracy including quantities, destinations, and documentation.
- Facilitate coordination with internal customers regarding shipment picking, dispatch scheduling, and inventory confirmations.
- Serve as the primary communication link among the Project Office, Warehouse, and Manufacturing Operations.
- Develop daily dispatch plans based on order priorities, customer commitments, and stock levels.
- Coordinate with warehouse and quality assurance teams to ensure prompt and accurate dispatch execution.
- Monitor dispatch progress daily and address any delays to meet delivery deadlines.
- Proactively resolve dispatch challenges or escalations as they arise.
- Oversee inventory levels across Finished Goods locations, arranging internal stock transfers when necessary.
- Maintain inventory accuracy through regular checks with warehouse staff and highlight any shortages or surpluses to relevant parties.
- Collaborate closely with production planning to share inventory data and ensure sufficient Finished Goods availability aligned with customer demand.
- Produce and maintain daily reports covering orders, dispatches, inventory movement, and pending deliveries.
- Ensure compliance with company procedures, SOPs, and dispatch timelines.
- Support initiatives for continuous improvement related to order fulfillment, dispatch, and inventory management.
- Help resolve order fulfillment, inventory, and dispatch concerns professionally and promptly.
- Manage warehouse functions such as proper packing, handling, and storage of goods in line with specifications.
- Maintain accuracy in the inventory system and kit goods according to kit lists, ensuring quality and quantity standards are met.
- Supervise safe loading and unloading of goods, verifying documentation corresponds with delivery specifications.
- Handle receipt of components and equipment accurately and timely.
- Manage unplanned requisitions efficiently and raise Non-Conformance Reports (NCR) for any defective parts, following up on resolution processes.
- Promote and maintain 5S standards within the workspace to ensure cleanliness and order.
- Optimize storage space usage while conforming to quality and safety regulations.
- Perform additional duties as assigned by line management.

- Minimum 5 years in packing, shipping, or warehouse-related functions.
