Key Responsibilities

  • Oversee the entire order lifecycle, from receiving to delivery.
  • Process and verify orders originating from company-owned outlets, franchises, distributors, institutional clients, and other B2B partners.
  • Confirm product details, quantities, pricing, delivery locations, dates, and commercial terms before proceeding.
  • Ensure precise entry of each order into the ERP or order management software.
  • Collaborate with Production, Planning, Warehouse, and Purchasing teams daily, aligning production with demand and ensuring availability of fast-moving and critical products.
  • Track daily requirements for all company-operated and franchise outlets, ensuring timely supply of dairy, beverages, packaging, and approved supplies, and managing urgent needs aligned with business priorities.
  • Liaise with warehouse staff on picking, packing, and shipping activities, maintaining stock levels and product freshness through FIFO/FEFO practices, and proactively managing products with limited shelf life to reduce waste.
  • Coordinate with Dispatch and Logistics to develop daily delivery plans, monitor vehicle availability, routes, and schedules, and address any delivery issues such as delays, shortages, or damages.
  • Maintain quality and food safety standards, collaborating with QA/QC teams to resolve related issues and handling temperature-sensitive products appropriately during storage and transportation.
  • Work closely with Sales and Marketing to communicate order statuses, manage order changes, cancellations, and additional requests, ensuring customer commitments are upheld.
  • Coordinate with Accounts for timely billing and invoice generation, ensuring adherence to approved pricing, discounts, and payment terms, and resolving any billing disputes.
  • Monitor returns, shortages, damages, and product rejections, collaborating across departments to resolve issues, maintain accurate records, and implement corrective actions to minimize waste.
  • Generate daily, weekly, and monthly management information system (MIS) reports on order processing metrics, order fulfilment, delivery performance, and stock status, highlighting critical issues for leadership review.
  • Lead and supervise the Order Management team by delegating daily tasks, monitoring individual performance, training in ERP systems and company procedures, and establishing key performance indicators (KPIs) for regular assessment.
  • Drive process enhancements by developing standard operating procedures (SOPs) for the order-to-delivery workflow, aiming to reduce processing times, shortages, delays, and waste, while improving coordination among all relevant departments.

Preferred Qualifications and Experience

  • Educational background: MBA or PGDM with specialization in Operations, Supply Chain, Logistics, Sales, or related areas.
  • Professional experience: Between 5 to 10 years in the Food & Beverage, FMCG, Food Manufacturing, or Distribution sectors.
  • Prior experience managing multiple outlets, franchises, distributors, and institutional/B2B clients is desirable.
  • Strong familiarity with ERP systems, inventory control, dispatch planning, and MIS reporting.
  • Excellent coordination skills required to collaborate effectively across Sales, Production, Warehouse, Quality Assurance/Control, Logistics, and Accounting teams.
