Job description
About eMediWrite
eMediWrite is a specialised company focusing on medical communications and healthcare content services catering to pharmaceutical, healthcare, medical device, and related sectors. The company manages multiple scientific, medical, educational, and communication projects simultaneously.
Role Overview
The Operations Manager role demands high ownership, leading project flows from initial briefs through planning, resource allocation, execution, reviews, and final client delivery. This position requires coordinating people, timelines, quality control, and client specifications to deliver projects on schedule, within quality standards, and aligned with budget and effort plans. It is an active leadership role focused on operations management, problem-solving, and accountability enforcement rather than just administration.
Key Responsibilities
- Manage daily execution of multiple projects and translate client needs into actionable workflows.
- Plan project timelines, milestones, and deliverables, and assign work to writers, designers, reviewers, and team members.
- Monitor project progress from start to finish, preempt bottlenecks, and ensure timely delivery.
- Oversee the operations team’s daily activities, allocate work based on capacity and deadlines, track productivity, and follow up on pending tasks.
- Identify and escalate persistent performance or discipline issues, fostering a culture of ownership and accountability.
- Maintain quality assurance by applying and enforcing SOPs and checklists, monitoring errors, rework, and client corrections to minimize recurring issues.
- Support on-time client delivery by coordinating internal resources to meet urgent requirements and responding promptly to feedback and escalations.
- Assess team workload and capacity to avoid under or over-utilization, streamline processes, and improve operational efficiency.
- Compile management reports addressing project status, team performance, quality metrics, resource use, bottlenecks, and escalations requiring attention.
Performance Indicators
- On-time project delivery rate and frequency of delays.
- Error rates, client revision frequency, and rework percentages.
- Team and individual productivity metrics including utilization and output.
- Adherence to SOPs and proactive risk escalation.
- Operational cost savings, profitability enhancements, resource optimization, and improved client retention.
Candidate Profile
- 3 to 7 years’ experience in operations or project management with responsibility for multiple projects and team management.
- Strong organizational skills, effective communication (written and verbal), and a robust problem-solving mindset.
- Proficient with Excel, Google Sheets, Microsoft Office, and preferably experienced in project management or CRM/workflow tools.
- Background in medical communications, pharma, healthcare, advertising, digital marketing, content agencies, publishing, education, or B2B services preferred.
- Ability to drive accountability, manage deadlines, follow up decisively, and handle difficult conversations professionally.
Compensation & Career Growth
The role offers a fixed salary starting at ₹20,000 per month plus performance-based incentives. Successful performers can expect earnings between ₹25,000 and ₹30,000 or more monthly. The compensation emphasizes rewarding operational performance and client satisfaction. Potential career progression includes roles from Operations Executive to Head of Operations, involving ownership of execution, resource planning, quality control, project delivery, and operational profitability.
Working Style & Company Values
This position requires discipline, ownership, speed, quality, accountability, process adherence, problem-solving, and client focus. The Operations Manager functions as a business owner within the organization rather than a simple coordinator.
Application Notes
Candidates should be ready to discuss their experience managing projects and teams, KPIs handled, productivity tracking methods, handling missed deadlines, reducing errors and rework, and familiarity with relevant industries and tools. The selection process involves screening, interviews, case studies, and management rounds.
