Operations Coordinator

About the Role

Monks is seeking an Operations Coordinator to join one of its largest client teams, playing a crucial role in managing, optimizing, and supporting talent deployment across various projects. This role involves collaborating with creative and production teams to assess project needs, determine appropriate talent allocation, and make informed staffing decisions that balance priorities and optimize resources. The position goes beyond just scheduling, requiring strategic thinking to challenge staffing requests, foresee challenges, and proactively implement effective solutions.

Key Responsibilities

• Manage resource allocation across multiple projects and creative disciplines to balance availability, skills, utilization, timelines, and business priorities.
• Collaborate closely with the Operations Lead, Account, and Production teams to understand project requirements and develop efficient staffing plans.
• Critically evaluate briefs and scopes to challenge staffing requests when necessary and recommend suitable roles, allocations, and timelines.
• Handle competing priorities and resource limitations by negotiating with stakeholders and suggesting practical alternatives.
• Maintain precise records of bookings, availability, and capacity to enable swift, informed staffing decisions.
• Supervise onboarding and offboarding processes for freelancers and new team members to ensure seamless transitions.

Candidate Profile

• Solid grasp of creative and production workflows, capable of quickly understanding different disciplines and translating project needs into effective staffing solutions.
• Proven experience managing multiple requests, resources, and priorities at the same time.
• Ability to work independently with a strong solution-focused mindset, comfortable making decisions and driving progress without continuous supervision.
• Exceptional organizational skills and close attention to detail to keep resource and capacity data accurate in a dynamic environment.
• Fluent English communication skills, both written and spoken, to confidently engage in sensitive conversations, negotiations, and relationships with global stakeholders.
• Familiarity with resource, project, and financial management platforms such as Monday.com and NetSuite, along with adaptability to evolving internal tools.

Additional Desirable Qualifications

• Previous experience in resource management, creative or production operations, traffic management, workforce planning, or related roles within fast-paced agencies or creative settings.
• Knowledge of pitches, RFPs, retainers, and agency staffing models.
• Experience managing freelance or external talent.
• Acquaintance with digital and AI-based production environments.
• Project management experience coupled with an interest in resource planning and operational strategy.
• Understanding of budget management, timelines, and ramifications of staffing decisions on costs.
