Key Responsibilities

• Oversee the entire order process from reception to dispatch and delivery completion.
• Verify and process orders received via the website, marketplaces, and other sales channels.
• Collaborate with internal teams to ensure prompt processing and dispatch of orders within established timelines.
• Track order statuses to detect delays, errors, cancellations, or operational challenges.
• Maintain precise order documentation and update internal management systems regularly.
• Generate and validate invoices, guaranteeing accurate billing details.
• Manage financial and transactional records within Zoho Books and Excel spreadsheets.
• Record sales transactions and reconcile payment data with order records.
• Monitor payments across various sales platforms and payment gateways.
• Keep detailed records of payment transfers and settlements through portals like Snapmint and Shiprocket.
• Detect payment inconsistencies and coordinate resolutions with relevant teams.
• Support the upkeep of accurate financial documents and operational data.
• Handle operational tasks across multiple ecommerce, logistics, payment, and sales platforms.
• Regularly review portals for order updates, payments, shipment progress, cancellations, returns, and other operational concerns.
• Ensure the accuracy and updating of information throughout different systems.
• Work with platform support teams to resolve issues related to operations or transactions.
• Help maintain accurate inventory logs within internal and sales platforms.
• Monitor stock levels, collaborating with teams to address low or out-of-stock items.
• Keep inventory information current and reconciled with actual warehouse stock.
• Coordinate with warehouse and operations teams for inventory movement and order fulfillment.
• Identify and assist in resolving inventory discrepancies.
• Liaise with logistics partners to assure timely pick-up, dispatch, and delivery of products.
• Prepare and validate documentation related to dispatches.
• Track shipments and follow through on delayed or pending deliveries.
• Address logistics issues involving shipments, returns, RTOs, and delivery inconsistencies, maintaining detailed records.
• Follow up with external partners to complete outstanding operational tasks promptly.
• Help verify product quality and order accuracy before shipment.
• Manage and respond to client reviews across applicable platforms.
• Maintain comprehensive operational data using Excel, Zoho Books, and internal tools.
• Continuously update records related to orders, payments, invoices, inventory, dispatches, vendors, and operations.
• Create and maintain operational reports as needed.
• Cross-verify data between different platforms to spot and address discrepancies.
• Organize all operational documentation to ensure it is up-to-date and easily retrievable.
• Propose practical solutions to enhance precision, efficiency, and turnaround times.
