About the Role
The Office Manager position is responsible for overseeing daily office functions and delivering administrative plus project coordination assistance in the Urban Core development initiative. This mixed-use integrated project requires someone with prior experience in office management in client-side development or international PMC/PMO roles within large-scale or gig projects. The primary objective is to guarantee smooth office operations, back project teams, and facilitate effective collaboration among internal departments, consultants, contractors, and vendors.
Key Responsibilities
- Handle day-to-day office activities and administrative tasks within the project office.
- Manage facilities, workspace distribution, procurement of supplies, vendor engagement, and office logistics.
- Maintain a well-organized, efficient, and professional work environment.
- Assist with onboarding processes, guest/visitor handling, and other administrative duties.
- Organize and coordinate meetings, workshops, and engagements across diverse project workstreams.
- Track action items, decisions, and deliverables ensuring timely follow-through.
- Support preparation of project reports, presentations, and the management of documents.
- Maintain updated project calendars, contact information of stakeholders, and communication records.
- Serve as a central liaison point connecting project teams, consultants, and external collaborators.
- Ensure accurate upkeep and storage of project documentation.
- Assist in generating reports, correspondence, minutes of meetings, and executive briefing materials.
- Provide support in procurement processes, contract management, travel planning, and expense reporting when required.
Candidate Profile
- Possesses a Bachelor's degree or Diploma in Business Administration, Project Management, or a related discipline.
- Has at least 7 years of relevant experience in office management, project coordination, executive support, or comparable roles.
- Experience working with large commercial offices, mixed-use/multifunctional developments, real estate, construction, or infrastructure projects.
- Demonstrates excellent organization, stakeholder handling, and ability to manage multiple tasks simultaneously.
- Proficient user of Microsoft Office Suite, document management platforms, and project coordination tools.
- Strong command of English for written and oral communication.
